The Executive Assistant - Legal will provide executive level administrative support to the General Counsel and Deputy General Counsel in the Legal Department. The position is responsible for providing administrative, operational, and accounting services. This position will serve as a key contact and representative for interactions with Board of Directors and other C-Suite executives.

 

ESSENTIAL FUNCTIONS

  • Liaison with other departments, representing the Legal Department's interests as needed.
  • Coordinate meetings, appointments, travel and other events for the department.
  • Coordinate department communication support, including mail, fax and receptionist services.
  • Perform general administrative duties as necessary.
  • Manage special projects as assigned, taking initiative to complete in a timely manner.
  • Provide support services, including file maintenance and copy assistance.
  • Manage information requests, including assembling and validating related documents.
  • Manage and order supplies.
  • Manage accounting functions for the Legal Department, including expense reports, invoice payment and deposit of funds received.
  • Assist the Legal Department on a variety of corporate governance and bank regulatory matters.
  • Assist in and coordinate all aspects of Board of Director (and committees thereof) meetings, materials and communications. 
  • Serve as key liaison with other governance functions, including Enterprise Risk Management and Internal Audit in preparation of such materials.
  • Assist the Office of Regulatory Relations within the Legal Department on a variety of matters, including, but not limited to, ongoing reporting to the Company's federal banking regulators.

 

KNOWLEDGE, SKILLS, AND ABILITIES REQUIREMENTS

  • Familiarity with legal concepts, practices and procedures.
  • Strong proficiency in MS Word, Excel and other Office software.
  • Ability to work in a flexible, high volume and fast paced environment.
  • Self-starter who possesses excellent interpersonal and communication skills and has the ability to interact on a professional basis with all levels.
  • Excellent customer service, time management and multi-tasking skills are required.
  • Ability to work effectively with senior management team as well as outside legal counsel.
  • Ability to handle confidential information with the utmost discretion.
  • Leadership qualities including self-motivation, resilience, positive attitude and strong team player.
  • Strong attention to detail.

 

TRAINING AND EXPERIENCE

  • High School degree or equivalent required.
  • Minimum five years of legal or administrative support experience.
  • Banking experience preferred.
  • Must be proficient in Microsoft Office Suite including Word, Excel, PowerPoint, Visio and SharePoint.
