Position Highlights

The College of Nursing is accepting applications for the open position of Administrative Associate for the Dean's Office. The Administrative Associate reports to the Senior Manager of College Operations and performs a wide range of administrative duties for the College. The main responsibilities will focus on processing new hire key requests, database management, managing the Dean's travel arrangements, managing calendars, setting up and taking meeting minutes, and managing special Dean and College events. This position will function as the primary contact for the College, e.g., telephones. Duties & Responsibilities

Duties and Responsibilities:

  • Act as the College's primary contact person for incoming calls; take messages and transfer calls as appropriate.
  • Provide administrative support to the Dean.
  • Manage and secure employee keys, e.g., order door keys for new personnel, distribute office furniture keys, provide keyless building access, etc.
  • Monitor the Dean's Office two-way intercom system to give building access to visitors.
  • Create and update various databases.
  • Monitor and order the Dean's Office supply inventory.
  • Arrange and manage the Dean's travel arrangements, e.g., hotel and airline arrangements, and submit Travel Authorization and Travel Expense Reports.
  • Act as a secondary College approver for College classroom/conference room schedule requests.
  • Handle sensitive and confidential information.
  • Prepare minutes, notices, manuals, agendas, and correspondence as needed
  • Initiate Zoom meetings as needed.
  • Oversee, manage, and assist with the Dean's and College events
  • Route and distribute incoming mail and other deliveries.
  • Pick-up faculty and staff awards at the local, approved vendor.
  • Oversee the College's Tucson recycling efforts.
  • Submit financial PCard transactions to the Business Office.
  • Serve as the back-up for the Senior Manager of College Operations.
  • Other duties as assigned.

Minimum Qualifications
  • High school diploma or high school diploma equivalency is required.
  • Minimum of 5 years of relevant experience, or equivalent combination of education and work experience.
Preferred Qualifications
  • Bachelor's degree or equivalent advanced learning attained through experience.
