Summary:

The HHMI Undergraduate and Graduate Programs (UGP) group develops and manages a diverse portfolio of science education initiatives, including grants, fellowships, and other programming to support individuals and institutions. The objectives of these initiatives are to support the preparation of future leaders in science and science education, educate science-literate citizens, and advance diversity, equity, and inclusion by influencing the culture of science education and training.

The HHMI Scientific Mentorship Initiative (SMI) is led by the SMI Program Lead and comprises a team of Facilitator-Scholars who collectively provide expertise in culturally aware mentorship (see ). The SMI team designs and delivers programming in culturally aware mentorship to all HHMI scientists, including workshops and courses for Investigators, Janelia Group Leaders, Early Career Scientists, Hanna Gray Fellows and their postdoctoral advisers, Gilliam graduate advisers, and HHMI Professors.

As the SMI Program and Special Projects Coordinator, you will work closely with the SMI Program Lead to provide the day-to-day management of the SMI. Some key aspects on your role will include coordinating the many interactions between the persons who are part of the SMI, as well as serving as a principal connection for the Facilitator-Scholars and between the SMI and the scientists participating in the mentorship courses and workshops. You will assist the Senior Program Lead in communicating with scientists and other members of the larger scientific community in understanding the goals of the SMI initiative, advising the scientists in how to achieve the goals of the initiative, assessing the progress made by the Facilitator-Scholars and the scientist participants, and contributing to the evaluation of the outcomes of the initiative.

Your knowledge of and genuine interest in science, scientists, and science education, will help you to be successful in this role. You will effectively contribute to the team by leveraging your strong analytical, organizational, communication, and excellent interpersonal skills.

The SMI is part of the Undergraduate and Graduate Programs (UGP) group, and the Special Projects Coordinator, will report to the Senior Director of UGP, and work at our headquarters campus in Chevy Chase, MD. You might be asked to travel domestically 2-5 times annually.

In this role, you will:

  • Coordinate the many elements of the SMI, including: recruiting, selection, training, and evaluation of the Facilitator-Scholars; developing and updating mentorship curricula and supporting materials; and organizing the on-line and in-person activities of the SMI and its clientele;

  • Manage operations of the SMI, including implementation of policies and practices, budget tracking, meetings, workshops, dissemination of materials, travel, and payments;

  • Assist in collecting, organizing, and archiving of data and other information and electronic databases;

  • Make timely payments through HHMI's electronic vendor payment system;

  • Promptly process travel and expense reimbursements;

  • Manage reporting deadlines, funds disbursements, post-activity surveys, and communications with all stakeholders;

  • Effectively work with other HHMI departments, including OGC, Communications, IT, People and Culture, Travel, Conference Services, and Finance; and

  • Collaborate with other programs in the UGP group as directed.

Education & Experience:

  • Bachelor's degree or equivalent combination of education and experience; Master's degree preferred

  • Academic credentials in science and/or scientific research experience preferred

  • Minimum 4 years of administrative or project coordination experience in a professional, or academic setting and/or experience working in a scientific environment preferred

  • Proficient with Microsoft Office 365 applications
