Administrative Assistant

The Opportunity

The Administrative Assistant will provide general administrative support for the local office employees and producers. Our ideal candidate will possess the ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. The Administrative Assistant will have the capability to write routine reports and correspondence, respond to common inquiries or requests from clients and colleagues. Candidate must be able to effectively present information to an internal department and/or groups of employees. This position is full-time, in our brand-new Bellevue office.



  • Provide administrative support for local office including telephone/email communications, scheduling, processing incoming and outgoing mail, ordering office supplies, office equipment maintenance and operation, inventory control and file creation and maintenance - both electronic and hard copy;


  • Provide receptionist duties, including answering phones, greeting visitors, and accepting deliveries;
  • Maintain small office kitchen and stock bottled water;
  • Coordinates onsite meetings/conference/assists with events
  • Order and keep an inventory of parking coupons
  • Serve as the Office Building Communications Liaison with property management/Berkadia facilities team


  • Maintain and update contact database and calendars;
  • Prepare correspondence as requested;
  • Complete expense reports for office staff;
  • Assist with entering contact/property information into database (Salesforce);
  • Tracks, collates, and maintains inventory of marketing materials;
  • Advanced skills with Microsoft Office Suite, internet research and web publishing skills. Ability to manipulate basic templates in Power Point and/or InDesign preferred. Strong marketing knowledge needed.


  • Other duties and responsibilities as required by business.


What you will need to be successful in this role



  • Minimum of three (3) years of professional experience in an administrative capacity;


  • Excellent computer skills, including mastery of Word, Excel and Outlook;
  • Experience in real estate and/or Salesforce a plus;
  • Ability to work with tight deadlines in a team environment;
  • Ability to multi-task and stay organized;
  • Possess a strong attention to detail;


  • Demonstrate excellent verbal and written communication skills.
