Business Communications Specialist

LOCATION: Asheville, NC / Remote

SALARY: Depending on qualifications & experience of candidate. This position is exempt and is not eligible for overtime compensation.

GENERAL STATEMENT OF JOB:

The Business Communications Specialist will primarily support the Business Communications Manager who acts as chief editor of print and digital business materials needed to conduct professional organizational operations, fulfill regulatory requirements and communicate with Vaya network providers. This person will assist with creating, editing and/or formating regulatory materials, external and internal forms, provider communications and other materials in preparation for Legal Department review. This position works with internal departments to ensure materials meet the organization's strategic communication objectives, are tailored to the appropriate audience and are clear, accurate and up-to-date.

The Business Communications Specialist will also assist with other Office of Communications duties, such as writing and editing job aids, PowerPoint presentations, forms, templates, brochures, flyers, and other miscellaneous marketing materials.

Note: This position requires access to and use of confidential healthcare information or protected health information (PHI) as described in laws addressing patient confidentiality, including, but not limited to, the federal HIPAA law, the Confidentiality of Alcohol and Substance Abuse Patient Records law, 42 CFR Part 2, and various state laws. As such, the individual filling this position shall be required to be trained regarding such laws and shall be required to observe those laws in his/her capacity as an employee of Vaya Health. The individual filling this position shall also sign a confidentiality statement as an employee of Vaya Health.

ESSENTIAL JOB FUNCTIONS:

* Collaborates with and assists the business communications manager with the following:

o Creates, edits, proofreads and/or formats regulatory materials, forms, provider email communications and other materials in preparation for Legal department review

o Ensures materials adhere to professional writing standards, applicable written style guides and organizational brand guidelines

o Fact-checks written materials and proactively resolves questions or concerns with internal subject matter experts

o Assists Vaya staff in developing effective content that aligns with the organization's strategic goals

o Liaises with Vaya's Legal, Regulatory Affairs, Executive Administration, Provider Network Operations and other internal departments in the development and approval of materials

o Maintains and serves as document owner for select regulatory materials

o Meets review, submission and/or publication deadlines

o Edits and distributes the Vaya Provider Communication Bulletin and Special Communications for providers via Constant Contact

o Works with the Provider Network Operations department to maintain and update provider communication email contact lists

o Designs and edits internal and external forms in conjunction with the Legal department

o Maintains a current, working knowledge of the NC Medicaid Style Guide, the Associated Press Stylebook and the Vaya Health Written Style Guide

o Maintains and updates the Vaya Health Written Style Guide

o Works collaboratively with colleagues at all levels of the organization

* Writes and edits a variety of marketing and communications materials in support of organizational initiatives and other departmental programs within Vaya, such as:

o Job Aids

o PowerPoint Presentations

o Forms

o Templates

o Brochures

o Flyers

o Handouts

o Other miscellaneous materials

QUALIFICATIONS & EDUCATION REQUIREMENTS:

A Bachelor's degree in Communications, Journalism, Liberal Arts or Health/Human Services is required with a minimum of three years of relevant experience in public relations, journalism and/or related fields

PHYSICAL REQUIREMENTS:

Close visual acuity to perform activities such as preparation and analysis of documents; viewing a computer terminal; and extensive reading. Physical activity in this position includes crouching, reaching, walking, talking, hearing and repetitive motion of hands, wrists and fingers. Sedentary work with lifting requirements up to 10 pounds, sitting for extended periods of time. Mental concentration is required in all aspects of work.

KNOWLEDGE, SKILL & ABILITIES:

* Professional writing and editing skills

* Diverse writing and editing skills with the ability to pivot from one writing style to another

* Strong knowledge of and adherence to AP style

* Solid understanding of organizational operations in a managed care organization and knowledge of NC Medicaid is preferred.

* Skilled in heath literacy and clear communication strategies.

* Strong verbal and written communication skills, including interviewing and gathering information from sources at all levels in the organization, compiling information and editing

* Advanced knowledge of Microsoft Word, Adobe Acrobat, Adobe Forms and Constant Contact or other email marketing platform preferred.

* Ability to manage responsibilities across different projects involving multiple departments.

* Detail oriented with a strong desire to produce high quality work

* Customer service oriented

Must have ability to write using correct English usage, with a minimum of three years of relevant experience in public relations, journalism and/or related fields, including research, advertising, management consulting, media and publishing. Experience in health and health-related fields is preferred.

This position requires driving a personal vehicle for Vaya Health Business in accordance with 216.02 Travel Reimbursement policy and 302.0 Driver Requirements & Safety Guidelines.
