Position Summary:

The Senior Manager provides support to departmental leadership and administrative direction for the academic clinical division which includes the management of non-physician staff. In conjunction with the Department Administrator and divisional physician leadership, develops and implement strategic goals related to management of the department, program development, and related issues. Develops and coordinates new programs and oversee their management. Oversees Division's profit and loss statements, case volume, and inpatient financial standing.



  1. Financial Management

    1. Oversees preparation of all budgets for divisional programs (i.e. school operating, discretionary, affiliation, Tisch funding, endowments, etc.) and Faculty Group Practice. Monitors these budgets regularly and reports on the financial performance of the Division throughout the year. Prepares variance reports as necessary outlining any deviation from the approved budget. Determines changes necessary to address resolution of variances. Prepares FGP analyses consistent with the business plans and/or agreements with the hospital/FGP for funding.
    2. Oversees the development of business plans for all programs in the clinical division, including planning, analysis, marketing, and implementation.
    3. Provides administrative support to Attending Physicians and House Staff on developing and monitoring workload and revenue indicators (i.e. discharges, length of stay, denials, outpatient referrals, etc.). Analyzes data and recommendations.
    4. Develops strategies to ensure optimization of funding and financial support for professional activities through hospital affiliations (Bellevue, VA, Tisch).
    5. Oversees the preparation of capital and all sources of funding including the operating budgets. Develops strategies for cost containment and maximization of revenues.
    6. Coordinate with Hospital Decision Support Team to allocate and adjust division's hospital inpatient finances and costs
    7. Expands Division's service line through additional practice sites.
    8. Oversees, manages, and supports division's revenue cycle. Identifies methods to increase revenue.
    9. Attends billing meetings as needed.




  1. Management of Staff

    1. Manages the entire non-physician staff within the Division. Directs and coordinates administrative personnel to assigned tasks and projects.
    2. Interviews and hires staff based on objective criteria; explains to employee clearly what his/her responsibilities are and the applicable performance standards.
    3. Brings to the employee's attention areas of performance of needing improvement as soon as they are recognized with a plan and a time frame for correction; identifies areas for growth as well. Implements the School's disciplinary process in accordance with SOM guidelines.
    4. Approaches the performance review process constructively and conducts it in accordance with Human Resources and departmental guidelines and procedures.
    5. Continuously encourages the raising of the performance of the staff in order to achieve the best possible outcome. Serves as a mentor to the staff in the performance of their duties.
    6. Oversees all staff development and training programs. Promotes an environment conducive to shared learning.




  • Facilities Management

    1. In conjunction with Department Administrator, oversees the strategic development of space and facilities planning for the Department.
    2. Assesses Department needs against short and long term goals.
    3. Serves as Project Manager for all major construction and renovation projects within Department. Ensures Department's interests are honored in any large space reallocation, construction, or purchase of capital equipment consistent with the School's and Hospital's guidelines.
    4. Oversees the negotiation of capital equipment and ensures appropriate level of analysis, projections and financial documentation is provided.




  1. Compliance and Policy Development

    1. In conjunction with the Chair and Department Administrator, oversees the development and implementation of policies and procedures for the Department. Ensures compliance in all areas of responsibility.
    2. Assures compliance with regulatory mandates IAC, JCAHO, New York State Department of Health, New York City Department of Health and Rules and Regulations and Bylaws of Medical Staff and corporate compliance officer.
    3. Oversees ongoing development and coordination of the Department's QA/QI process, including coordination with Hospital QA committees and compliance with Hospital QI reviews.
    4. Assist the departmental Vice Chair of Quality in departmental quality improvement projects
    5. Develops and processes changes required in order to comply with new or changing regulations. Develops and approves effective complaint procedures.
    6. Ensures that policy changes are documented thoroughly.
    7. Oversees preparation of all externally and internally mandated reports.
    8. Communicates new policies and procedures and regulatory changes impacting the division with medical and non-medical staff as indicated. Establishes mechanisms/processes that facilitate compliance and assist in reinforcing hospital and school policy changes and regulatory requirements.




  1. Program Development & Divisional Goals

    1. Plans, develops, and recommends new programs for the Department. Establishes annual goals based on the goals of the Chair and Department Administrator and the overall department and mission of the institution.
    2. Organizes and conducts in-service sessions and implements new programs as required. Proposes and implements programs to generate additional revenue.
    3. Submits long and short term divisional goals to the Chair and Department Administrator.
    4. Prepares verbal or written reports periodically to service lines on status of and or changes to division objectives and initiatives.
    5. Works collaboratively and shares necessary tools and resources to accomplish goals in accordance with the Medical Center's mission statement.
    6. Works collaboratively with the Chair and Department Administrator to create programs to increase division and department market share and visibility.




  1. Marketing and Development

    1. Provide guidance and support to Development Team in donor cultivation and relationships with Attendings.
    2. Work with industry to develop marketing systems (referral source letters, testimonials, etc.).
    3. Update and maintain website.
    4. Collaborate with Department of Corporate Partnerships to showcase Division's service lines to outside companies.




  • Faculty Recruitment and Support

    1. Oversees the administrative services provided to all faculty within the Division.
    2. Develops a business plan for new faculty for review and approval by the Chair.
    3. Coordinate with the SOM regarding resources for recruits, including space and equipment.
    4. Oversees the administrative support provided to ensure all practicing/admitting physicians providing care to patients at NYUHC are appropriately credentialed. Ensures that all necessary paperwork is initiated and completed and guidelines are followed. Functions as a liaison with individual Attendings, as needed, in order to facilitate compliance.
    5. Notifies clinical faculty of hospital events (i.e., mandatory training, etc.) and encourages attendance.
    6. Organizes a communication mechanism for MDs and House Staff on the service such as email or fax.



  • Grant Management and Clinical Research

    1. Provides oversight and administrative direction for all grant management activity and clinical research compliance within the department.
    2. Identifies and helps coordinate appropriate resources needed to address tasks to be performed or data to be gathered.
    3. Oversees the management of funding provided under grants and contracts assigned to the Department.
    4. Oversees compliance with all funding agencies and the IRB by ensuring that information required is maintained and reported on a regular basis. Identifies and analyzes any discrepancies in order to ensure appropriate justifications are provided.
    5. Oversees the addition of sites for IRB approval.
    6. Obtain grants from Industry to support Fellowship.


Minimum Qualifications:

Bachelor degree (B.A./B.S. required). Minimum of 5 years of financial management experience, including managing federal contracts & grants and excellent knowledge of research and medical center accounting, reimbursement and financial reporting.

Preferred Qualifications:

Master in Business Administration (M.B.A.), or equivalent combination of experience and education, with progressive leadership experience in an academic medical center or similar organization. Excellent budget, cost control skills, organization skills and a management style which develops a good working relationship and communication within the Department and the NYUSOM administrative departments. Analytical, organizational, and verbal and written communication skills required to interact successfully with professional groups and committees. Candidate must have a proven ability to work in a fast-paced environment and manage several projects simultaneously, and handle confidential information. Intermediate to advanced skills with Microsoft Office Suite especially Excel, ledger reports, and preferably PeopleSoft tools.
