About the Job

Description of Position
This position provides financial and operational support to units within University Health & Safety for financial statements, budgets, billing, process and policy, and repair and replacement funding. This includes support and preparation of monthly financial statements, payroll variance reconciliations, and preparation of annual budgets and internal billings. Responsibilities require the use of PeopleSoft, Excel, Tririga, and other financial and reporting software. This position also provides financial and accounting support for University of Minnesota construction Repair and Replacement projects and manages the pools of funds allotted for these types of projects. This position is a key partner in managing and reporting remaining pool fund balances to University Services and Facilities Management Leadership. This includes project set up and closeout, reconciliation of subsidiary systems to the general ledger, and providing customer service and reporting for various customers.

Financial and Operational Support University Health & Safety (50%)
Prepare, review, and analyze monthly financial statements and operational reports for University Health and Safety. Perform variance analysis, researching discrepancies and providing explanations or possible solutions to any budgetary discrepancies. Advise managers and staff on proper accounting procedures in the purchase, sale or exchange of goods and services. Prepare, monitor, and reconcile payroll and fringe activity monthly. Assist in the preparation of annual budgets for University Health and Safety. Prepare budget presentation materials and annual budget documentation for leadership. Provide budgetary support for UHS units. Enter budgets into PeopleSoft and position budgeting. Manage internal and external billings for units within University Health and Safety. Partner with departmental managers to develop and implement efficient and effective billing procedures. Monitor payment of invoices and posting of internal vouchers and journal entries. Compile monthly and quarterly charges for University of Minnesota Medical Center, Fairview. Serve as a Billing Specialist for University Health and Safety.

Manage Repair and Replacement Pool Funds & Projects (50%)
Monthly review of project expenditures against funds to ensure life to date expenses are not greater than funded amount. Monthly and annual reporting of remaining pool fund balances and projects funded by the pool to leadership. Participate on the University Health and Safety Repair &Replacement (R&R) committee. Ensure projects funded by the Repair and Replacement pools meet the qualifications for fund usage. Ensure that projects are funded timely and accounted for appropriately, and potential projects are estimated and tracked against the pool resources. Set up projects in Tririga and Peoplesoft. Determine correct accounting codes, proper account transfers, and accuracy of charges. Process fund transfers in the University general ledger, ensuring that funding is available and appropriate for project use. Determine capitalization components of projects. Reconcile project costs in subsidiary systems to general ledger, analyzing discrepancies, determining the validity of transactions, and making necessary corrections. Close out projects in a timely manner upon completion. Respond to staff and customer requests for project accounting information.

Qualifications

Required Qualifications
* Bachelor's degree in Finance, Accounting, or related field
* Four years professional accounting, finance, or related experience
* Experience and proficiency using spreadsheets, software systems, and reporting software
* Experience using general ledger financial applications and interpreting financial results.
* Excellent communication skills, both verbal & written
* Demonstrated ability to provide strong customer support

Preferred Qualifications
* Four or more years of accounting experience
* Experience with University of Minnesota policies, procedures, and accounting systems
* Demonstrated working knowledge of accounts receivable, accounts payable, general ledger, budgeting, forecasting, fund, cost, and project accounting
* Billing Specialist
