About the Job

Position Summary
The Health Science Classroom Service Event Scheduler schedules and coordinates non-academic reservations in HSCS learning spaces to meet the programmatic needs of the Health Science schools and broader University community. This includes serving as the primary point of contact for campus partners, registered student organizations, and external parties regarding their classroom reservations and coordinating all required documents. The position will assist with routine classroom maintenance, access and classroom documentation. This position will act as a resource to other UMN Astra users, will support organizational process documentation, and may provide work direction to HSCS student staff.

Essential Job Functions
Classroom Event Reservation Scheduling: (60%)
* Act as the primary point of contact and liaison with University partners on a broad range of meeting and event scheduling inquiries and respond in a timely, helpful and courteous manner, demonstrating good listening and comprehension skills
* Schedule non-academic room reservations in 74+ HSCS classrooms, sometimes under severe time constraints
* Review and coordinate with HSCS Service Coordinator special event requests for space arrangements and technology
* Resolve room scheduling issues through a combination of standard procedures, research, and creative problem-solving
* Oversee the process for non-academic event reservations in the health science classrooms in accordance with the academic cycle and ensure compliance with University and department policies
* Accurately explain and enforce classroom reservation policies to a broad range of partners
* Coordinate short term lease agreements as required for non-University classroom use
* Identify and coordinate scheduling of classroom resources outside of the HSCS inventory in support of health science programs
* Serve as a resource for other University event scheduling staff
Classroom Maintenance: (20%)
* Oversee and maintain classroom and office supplies
* Oversees HSCS classroom and related open study space conditions
* Submit, monitor / track FM work orders
* Assist HSCS in maintaining classroom signage
Process Documentation: (10%)
* Generate and distribute routine reports (Weekly Custodial List, classroom schedules, others as requested, etc.)
* Assist with HSCS website maintenance
* Work with Lead Scheduler to prepare biannual event utilization reports
* Assist HSCS with annual survey coordination
Academic Scheduling Support: (5%)
* Provide backup support to academic scheduling in HSCS spaces
* Work collaboratively to complete processes related to the academic scheduling production calendar
* Maintain knowledge about the University, its academic programs, and diverse organizations using HSCS classrooms and use this knowledge in making room reservations
Other Duties as Assigned: (5%)
* Remain current on departmental policies and procedures
* Effectively communicate with a diverse group of students, staff, faculty, and external clients
* Collect and disseminate basic building information (classroom maps, directions, parking) to room users
* Positively represent Health Sciences Classroom Services to the UMN community
* Participate in ongoing training, projects, meetings and committees
* Perform other duties as assigned

Qualifications

Required
* High school diploma/GED and four years of related experience. Coursework in a related field may substitute for some years of experience
* Strong organizational skills and attention to accuracy and detail
* Computer skills including familiarity with Microsoft Office products, Google applications, and databases

Preferred
* Experience in high visibility customer service-oriented position
* Experience working with Astra Schedule and/or another room scheduling software
* Experience working in a higher education setting
* Ability to interact effectively with students, faculty, and administrative staff while displaying professionalism and tact
* Skill in establishing priorities and handling multiple projects simultaneously while maintaining a high level of accuracy
* Experience in working in a high-volume transactional environment
* Strong oral and written communication skills
* Self-motivated, willing to learn, and strong initiative to improve quality of service
* Desire to participate in and promote process improvement
* Experience with the University of Minnesota academic systems, infrastructure, policies, and procedures

Unit Description
The Health Sciences Classroom Services (HSCS) office is the primary classroom support office for the University's health science programs. HSCS supports high quality teaching and learning by faculty and students in 74+ classrooms, located on the UMN East Bank and St. Paul campuses.
