About the Job

Job Responsibilities:
Provide support to the Office of the Dean of the Law School (Dean, Assistant Dean, Finance Director, and Executive Assistant to the Dean). Primary administrative support for the Faculty Appointments Committee.

This position is onsite with some flexibility. Salary is dependent upon experience with a range of $20.69 - $30.89 per hour.

Faculty Appointments Committee Support 50%:

  • Provide direct administrative support to the committee chair and co-chair in all aspects needed during the annual search cycle.
  • Provide friendly and robust administrative support to candidates, representing the Law School well in all interactions.
  • Coordinate and support all appointments committee meetings.
  • Maintain detailed files, tracking of all applicant materials, analyze data and produce detailed reports as needed.
  • Submit and track faculty position postings to additional outlets as directed by the committee.
  • Coordinate the annual Association of American Law Schools (AALS) Faculty Appointments Register (FAR) process (primary contact, updating Law School information, paying fees, submitting ads and downloading distributions for committee review).
  • Coordinate the AALS Recruitment Conference held in Washington, DC in early October for the committee members (make hotel/space reservations, organize travel, interview schedule and additional request as needed).
  • Manage all aspects of faculty candidate visits to the Law School (make travel arrangements, lodging, schedule job talk and secure space, assist in building visit itinerary, order food for the various daily events as required, assist in dinner arrangements, process candidate's expense reimbursements and serve as the primary resource to candidates).
  • Assist in compiling materials for faculty review in preparation for faculty meetings.
  • Coordinate faculty candidate return visits to the Law School (organize travel, lodging, transportation, meetings and or lunch/dinners as needed, process resulting expense reimbursements and serve as the primary resource to candidates).

Dean's Office Support 25%:

  • Front facing staff member of the Dean's Office, primary greeter of visitors to the office, prioritizing incoming requests of the office either electronic, via phone or in person.
  • Provide clerical support as needed to the Dean, Assistant Dean and Finance Director.
  • Support and back up the Executive Assistant to the Dean as needed. Maintain Ballard Spahr conference room reservation requests and general functions of the Dean's Suite.
  • Primary resource for student employee.

HR & Curriculum 20%:

  • Generate appointment letters for approximately 150 adjunct instructors from three Law School curricular areas each academic year.
  • Coordinate and collaborate with adjunct faculty administrators and finance department to ensure accurate and timely appointment and payroll information.
  • Facilitate background checks for all adjunct instructors.
  • Monitor the Law HR email account and assist the Human Resources manager with temp-casual appointments as needed.

Qualifications

Required Qualifications:

  • High School Diploma/GED and five years related experience to include professional customer service support and complex project management in a fast-paced environment. Training and/or education may be substituted for some of the years of experience.
  • Computer skills in Google Workspace, Microsoft applications including Word, Excel, and Power Point. Electronic file management and complex electronic calendaring experience.
  • Knowledge and understanding of executive level office operations and procedures.

Preferred Qualifications:

  • Excellent oral and written communication skills, effective organizational skills, time management skills as well as the ability to work independently.
  • Demonstrated experience communicating with and providing excellent service to executive level leaders, faculty, senior leaders, dignitaries and alumni.
  • Demonstrated initiative and willingness to go the extra mile to provide outstanding service.
  • Proven ability to coordinate several projects simultaneously and meet deadlines.
  • Evidence of exceptional interpersonal skills and discretion.
  • High level of proficiency with Microsoft applications, Google Workspace and Chrome River.
  • Experience working in an academic administrative setting and event coordination.
  • High level of emotional intelligence.
