Coordinator, IFM, Pew Research Center (Hybrid)

Position Overview

The Coordinator, Integrated Facilities Management (IFM), Pew Research Center assists the Senior Manager, IFM, Pew Research Center with the organization and coordination of office operations, including facilities management, coordinating meeting planning and management, and ensuring the seamless services support to the office. The Coordinator has responsibility to support the day-to day operations of facilities by supporting the logistics for internal meetings and events, anticipating and fulfilling staff needs, maintaining established vendor relationships and purchasing practices, accepting deliveries, coordinating mail and monitoring office security. This role reports to the Senior Manager, IFM, Pew Research Center and is located at the Pew Research Center.

Responsibilities



Meeting Management


  • Monitor and manage meeting room reservation systems. Resolve reservation conflicts. Prepare meeting room usage reports.
  • Assist hosts of meetings with planning all logistical needs.
  • Manage catering needs including ordering food, accepting catering orders, setting up and cleaning up of food.
  • Other duties as assigned



Facilities


  • Monitor the overall condition of the office space by twice daily walk-throughs of the facility to monitor space and ensure that any building maintenance issues are recorded and/or resolved. Work with the Senior Manager, IFM, Pew Research Center to coordinate with building maintenance and submit work tickets for any building maintenance issues.
  • Schedule and clean all refrigerators on a regular basis as agreed upon with manager.
  • Other duties as assigned



Other Responsibilities


  • Prepare invoices for review and submission by Senior Manager, IFM, Pew Research Center.
  • Provide daily reception coverage at the front desk during lunch hour, afternoon closing procedures, and back-up coverage as needed
  • Serve as back-up fire captain and fire drill coordinator to the Senior Manager, IFM, Pew Research Center.
  • Other duties as assigned


Requirements



  • Associates degree or equivalent work experience.
  • Highly adaptable with demonstrated initiative.
  • Able to make positive, productive contributions.
  • Strong oral and written communication skills. Strong attention to detail.
  • Ability to develop strong working relationships among internal staff, vendors, contractors and property management.
  • Ability to prioritize; organize self and manage time; plan and identify resources for projects.
  • Flexibility to work as part of a team as well as independently to meet goals in a fast-paced, deadline-driven environment. Self-directed to act and resolve issues.
  • Self-disciplined to meet deadlines and has a strong work ethic.
  • Responsiveness to requests and commitment to providing high quality service. Maintains a customer service demeanor always.
  • Sound judgment and the ability to conduct oneself in a highly professional manner. Makes decisions or choices wisely, after adequately contemplating various courses of action and their potential repercussions.
  • Demonstrated proficiency in the use of word processing software and electronic calendars (Windows, Microsoft Word, Excel, and /or Outlook) is preferred.


Travel



  • Occasional day travel to 901 E Street and Philadelphia.
