Position Summary

The University of Southern Indiana is accepting applications forSenior Administrative Associate (Student Affairs).

Provide administrative support, including budget management and process coordination, to the Vice President for Student Affairs.

Duties/Responsibilities



  • Process and track annual budget lines, records, expenditures, transfers, and reports for the Vice President for Student Affairs. Serve as liaison with the Finance and Administration Office with regard to budgets.

  • Contact trace students who have been a close contact, having symptoms, or tested positive for COVID.

  • Develop the weekly newsletter "The Source" through Constant Contact, which goes to 10,000+ people (students and families) to inform them about activities on USI Campus.

  • Assist with preparation of documents and presentations of student affairs general expense budgets for the University budget process.

  • Access and utilize data in Banner system for researching information and generating reports as needed.

  • Handle a wide range of confidential information requiring a dedicated high level of privacy.

  • Coordinate the university student domestic travel approval process and maintain appropriate records.

  • Manage student Travel and Program grants process for students upon grant approval by the Vice President for Student Affairs.

  • Assist with the interpretation and administration of student affairs staff personnel policies as needed.

  • Run Student Affairs Awards committee, process the forms, nominations, and voting, along with present the Student Affairs Awards at the Student Affairs Annual Retreat

  • Plan and coordinate the annual Student Affairs Retreat, other special divisional programs and events.

  • Attend all meetings and prepare agenda and minutes for Student Affairs Directors meetings.

  • Draft and review correspondence for Student Affairs as needed.

  • Perform monthly reconciliations for the Vice President for Student Affairs T-card and P-card.

  • Maintain office space for Vice President for Student Affairs.

  • Support the Vice President for Student Affairs in all manner and aspects as necessary.

  • Schedule appointments, meetings, and special events as requested by the Vice President for Student Affairs.

  • Serve on various community and University committees as designated by the Vice President for Student Affairs.

  • Develop and maintain Student Affairs divisional records, including current divisional staff records.

  • Maintain and manage the process for the annual President's Medal award.

  • Process payroll forms for all Student Affairs staff, Student Workers, and the Vice President for Student Affairs.

  • Other duties as assigned.


Required Knowledge and Skills



  • High School Diploma/GED.

  • Three to five years related work experience.

  • Excellent interpersonal communication skills.

  • Time management skills.

  • Strong organizational skills with consistent ability for accuracy and attention to detail.

  • Ability to handle multiple tasks simultaneously and prioritize work assignments.

  • Extensive working knowledge of office technology required - Microsoft Office is the office platform.

  • Ability to work independently and maintain confidentiality.

  • Ability to work independently with very limited supervision; exercising initiative and sound judgement with a high level of tact and diplomacy.

  • Ability to work with diverse individuals; including but not limited to faculty, staff, students, family members, and guests of the University.


Preferred Knowledge and Skills



  • Associate's Degree.

  • Knowledge of Banner administrative software.


Regular Work Hours/Travel Requirements




  • Standard work hours are Monday through Friday, 8:00 a.m. to 4:30 p.m.




  • Occasional irregular hours, including early mornings, evenings and/or weekends may be required.
