Job Description:

Amherst College invites applications for the Coordinator of Strategic Alumni Engagement position. The Coordinator of Strategic Alumni Engagement is a full-time, year-round position starting at $25.00 per hour. Given Amherst's distinction as one of the most diverse liberal arts colleges in the country, the successful candidate will demonstrate the ways in which they bring value to and will work towards supporting a broadly diverse community.

The Coordinator of Strategic Alumni Engagement coordinates event logistics and implementation for a wide variety of on-campus and virtual events which may include affinity programs, support for the Executive Committee of the Society of the Alumni, and Reunion activities within assigned class cohorts. This role also provides program and communications support to staff working with alumni classes and volunteers and maintains budget records for alumni programs. The person in this role is expected to work as part of a collaborative and inclusive team including taking appropriate actions to support a diverse workforce and participating in the College's efforts to create a respectful, inclusive, and welcoming work environment. In addition, all Advancement staff members are required to support and staff key events such as Reunion, Homecoming, and Family Weekend. These events may require occasional evening and weekend hours.

Summary of Responsibilities:

Event Planning
  • Coordinate event registration process including Slate/event app setup and maintenance, reserving event space and/or hotel accommodations, collaborating with campus partners including Facilities, Multimedia Services and Catering, processing payments and preparing deposits
  • Oversee event materials and communications, including event schedules, promotional materials, planning handbooks, bulk emails and texting campaigns
  • Working with the Senior Director, support web, email and texting initiatives related to the Executive Committee, Trustee Nominating Committee and Trustee Election Process
  • Maintain and update web and data functions (in partnership with colleagues), troubleshoot applications and reports, evaluate processes
  • Manage reception centers for on-campus affinity events, including coordinating staffing, technology needs and refreshments
  • Coordinate supplies and signage; complete contracts with vendors, billing and post-event wrap-up


Class and Volunteer Management
  • Provide support to the Director of Strategic Alumni Engagement and the Assistant Director of Strategic Alumni Engagement for a portfolio of alumni classes including 0-15 years out and 26-40 years out
  • Prepare email and print materials, maintain class and event webpages, contacts and records
  • Draft and send regular volunteer communications, including attendance updates and financial reports
  • Respond to volunteer requests


Administrative Duties
  • Maintain records, timelines and work instruction for programs
  • Maintain budget and spending records for programs
  • Complete coding, data entry and custom reporting
  • Cover phones as needed for receptionist
  • All employees are expected to participate in the College's efforts to create a respectful, inclusive, and welcoming work environment


Qualifications:

Required
  • High school diploma or equivalent
  • 2-4 years of related experience
  • Attention to detail
  • Excellent written and verbal communication and interpersonal skills
  • Exceptional customer service, organizational and time management skills
  • Ability to take initiative, work independently and collaboratively
  • Occasional weekend and evening hours are required to staff events
  • Proficient in Microsoft Office and ability to learn and utilize new software programs
  • Experience working with diverse communities


Preferred
  • Associate's degree
  • Experience in higher education, particularly with students or volunteers
  • More than four years of related experience
