Overview

We are looking for an HR administrative assistant in our Human Resources department to work at the front desk in our office.

Essential Duties and Responsibilities:

    Manage Drive on pass database and issuing of parking passes
  • Manage leave of absence, extended leave, unemployment and ARC programs Performs other duties as assigned
  • Welcomes and directs visitors to the office, including tenants, investors, vendors and other business partners in a friendly, professional manner
  • Answers telephone calls and directs callers to appropriate associates Takes and retrieves messages
  • Provides callers with general information, including company address, directions and other related information
  • Receives, sorts and forwards incoming mail; coordinates the pickup and delivery of packages and mail
  • General office support, including ordering and managing the inventory and purchase of all office supplies
  • Schedule meetings and appointments
  • Provide general administrative support to all business teams ie. scanning and uploading documents to multiple filing systems, preparing and distributing interview packets, etc.
  • Process receipts for travel reimbursement
  • Address employee queries regarding office management issues (stationary, Hardware, Travel Arrangements)
  • Liaise with facility management vendors, including cleaning, catering and security services
  • Performs other duties as assigned


Qualifications

Required:

  • Bachelor's degree in Human Resources, Business Administration, Business Management or a related field
  • Experience with MS Office (Word, Excel, OneNote, PowerPoint) Demonstrated ability to communicate effectively using technology (i.e. Skype/instant messaging, MS Outlook, mobile technology)
  • Available to work 100 percent of the time on site (no work from home ability)
  • Ability to work a minimum of 07:00-16:30, Monday- Friday, with the ability to work extended hours

Preferred:

  • Experience as an Administrative Assistant
  • Experience in Human Resources
  • Experience in Customer Service
