JOB DESCRIPTION AND POSITION REQUIREMENTS:

The School of Global Languages, Literatures, and Cultures (SGLLC) in the College of the Liberal Arts is searching for an Academic Program Coordinator to provide departmental and graduate programs administrative support.

Responsibilities include but are not limited to:

  • Maintaining graduate student records; processing forms for exams, committee selection, funding, and progress

  • Processing graduate student assistantship appointments

  • Coordinating the graduate student recruitment process: responding to prospective student inquiries; arranging campus visits (i.e., travel, lodging, events); preparing offer letters

  • Supporting new students through admission and orientation; planning new student orientations

  • Maintaining departmental graduate handbooks, flyers, and other materials

  • Researching answers and implementing university, college, and program deadlines, policies, and procedures

  • Supporting the graduate officers, committees, faculty, and students on graduate program-related matters; responding to inquiries

  • Serving as the department liaison to the College of the Liberal Arts, The Fox Graduate School, and other university offices

  • Coordinating and supporting various conferences and events: assisting with visitor itineraries, travel arrangements, and related expense reimbursements and honorarium payments

  • Updating the department's website and social media

  • Scheduling meetings or events; maintaining calendars

  • Assisting with special projects

  • Creating/maintaining documents and files; preparing reports; drafting and processing correspondence

The Academic Program Coordinator will primarily provide graduate program support to the departments of Spanish, Italian, and Portuguese; and French and Francophone Studies, as well as administrative support to the latter department and its head. These assignments may expand or switch to other departments in the SGLLC in the future, based on business needs.

The Academic Program Coordinator will work both independently, as well as collaborate/have support of the SGLLC administrative team when completing the position's responsibilities. Providing back-up support to others on the administrative team will occur as needed.

Education and Experience:
This position will be filled at the level of Support or Intermediate Support, depending on the final applicant's experience and education. The Support level requires a minimum of a High School Diploma/GED or Vocational Training/Degree, or an equivalent combination of education and experience.Additional education and/or experience are required for higher-level positions.

  • Ability to problem-solve and multi-task

  • Detail-oriented

  • Excellent organizational, customer service, communication, and interpersonal skills

  • Experience using Microsoft Excel

The salary range for this position, including all possible grades is:

$34,800.00 - $55,500.00
