Summary:

The Receptionist is responsible for attending to visitors and solving inquiries face-to-face as well as over the phone by supplying information regarding the organization to the general public, internal and external customers.

Job Duties: -

* Answers multi-line telephone, screens and directs calls

* Records and relays messages

* Provides information to callers

* Greets persons entering organization

* Directs persons to correct destination

* Deals with queries from the public and customers

* Ensures knowledge of staff movements in and out of organization

* Performs general administrative and clerical support

* Prepares letters and documents

* Receives and sorts mail and deliveries

* Schedules appointments

* Maintains appointment diary either manually or electronically

* Schedules and organizes meetings

* Maintains tidiness of the reception area

* Other duties as required and assigned

Requirements:

* High school diploma or GED (General Education Diploma) equivalency

* Minimum 6 months to 1 year related experience and/or training

* PC literate with experience with Microsoft Outlook, Word and Excel

* Excellent written and verbal communication skills and organizational skills

* Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals

* Ability to speak effectively before customers or employees of organization

Environment:

While performing the duties of this job, the employee is regularly required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms; stoop, kneel, crouch, or crawl and talk or hear. The employee is occasionally required to sit and climb or balance. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, peripheral vision and ability to adjust focus. The employee is regularly exposed to ambient lighting and temperate climate conditions.
