Global Administrative Assistant -Seminary

POSITION SUMMARY:

This individual serves as an assistant to The Assistant Dean of Global Education.  In part, the role will include liaison between the assistant dean, the seminary, and various support departments and the Spanish-speaking seminary students and Latino faculty.  This includes responding to initial inquiries, translating requests, facilitating conversations and instructions between support departments and the student/faculty, and assisting with recruitment and advancement efforts. This individual will also provide administrative assistance in alignment with the global expansion of Wesley Seminary.

REPORTING RELATIONSHIP: 

Reports to the Assistant Dean of Global Theological Education   

EDUCATION REQUIREMENTS:

Some College Preferred, High School diploma required.  

DUTIES AND RESPONSIBILITIES:

  • Provide support as needed to the Assistant Dean of Global Theological Education. 
  • Serve through a variety of means Wesley Seminary global students and adjunct faculty.
  • Serve as the primary contact for current Spanish speaking seminary students with written, phone and face to face functions. This includes providing communication support between students and seminary support departments including student services, accounting, financial aid services, IT, learning platform, etc.
  • Prepare and process forms for the global students as required.
  • Handle all Spanish language translation needed including course documents and other materials when necessary. Review and assist with the translation of a variety of academic materials and communications for Hispanic students to ensure proper grammar and messaging.
  • Track global courses and adjunct faculty in Colleague and Seminary database, provide course instructional materials, and maintain files.
  • Manage communication with global adjunct faculty, including securing documents for hiring,
  • Order and distribute textbooks to global students and faculty when necessary and track student textbook payments.
  • Assist with locating Spanish resources and obtain copyright or permission to translate resources into Spanish.
  • Hispanic & Diverse Group Starts (Residencies).  Translate for English speaking guests during the Residential and in Spanish for Latin American residencies.  Track lodging, prepare packets, schedule events etc.
  • Coordinate the logistics for events related to Wesley Seminary including Hispanic Heritage Month, other cross-cultural events and special dinners.
  • Ensures the ongoing communication with external agencies and partners such as AETH etc.
  • Assists with duties related to international travel for residencies such as Visas.
  • Other responsibilities may include assisting with building global class calendars, global adjunct faculty scheduling, and other office processes.
  • Other duties as assigned by the Assistant Dean of Global Theological Education  

QUALIFICATIONS:

Experience:  

  • Minimum 5 years of experience in administrative positions 
  • Demonstrated ability to work effectively with individuals from diverse communities and cultures."  

Required Skills:

  • Superior oral and written communication skills in English and in Spanish. 
  • Superior oral and written Spanish translation skills.
  • Superior level of Latino cultural intelligence.
  • Outstanding computer skills with working experience in a variety of applications; ability to work independently.
  • Ability to relate and interact well with pastors, ministerial students, and IWU community and individuals from different cultural backgrounds.
  • Excellent organizational skills.
  • Ability to maintain confidentiality and compliance with FERPA laws.
