The Administrative Assistant performs a variety of complex tasks to support 8 full-time, professional staff in the Center for Civic Engagement, Lula Bell Houston Resource Center, and Chidsey Program for Leadership Development. The Administrative Assistant's primary function is to manage budgets and day-to-day operations of the departments and serve as the primary point of contact for internal and external constituents. Key Responsibilities:
- Administer a wide range of office management responsibilities and administrative support for 8 full- time staff members and 10+ major programs in the Center for Civic Engagement, Lula Bell Houston Resource Center, and Chidsey Program for Leadership Development.
- Serve as the main point person in the Center for Civic Engagement to triage visitors, provide information where requested or direct to appropriate staff.
- Maintain office resources including equipment and office supply inventory.
- Maintain financial records for institutional, endowed, and grant budgets and communicate reports for all budgets and programs for approximately 20 institutional and endowed funds and 25 student organizations. Process financial transactions for the departments/programs.
- Assist with programmatic details for major Center for Civic Engagement events including the Community Involvement Fair, Celebration of Service, Bonner Scholars Program events. Coordinate administrative details for receptions, speakers, open houses, etc.
- In addition to working with existing technology related to the position (e.g., Oracle, Event Management System, WildcatSync) in executing daily office support tasks, research/stay up to date on technology related to the position.
- May update or maintain calendars for direct supports or schedule meetings.
- May provide general training and guidance to student workers.
Requirements:
- HS or GED, and a minimum of 3 years of office experience required. Bachelor's degree preferred.
Knowledge/Skills/Abilities:
- Demonstrated comfort learning new computer skills and/or experience with Oracle and the Engage platform.
- Demonstrated ability to perform responsible and difficult office support work involving the use of independent judgment and personal initiative.
- Detail oriented.
- Strong organizational skills, problem solving, and communication skills
- High level of discretion and interpersonal skills.
- Strong work ethic in regards to confidentiality.
- Demonstrate flexibility and willingness to adapt to new challenges in administrative duties.
- Working knowledge of typical office machines: computer, copier/printer.
- Accounting for budget purposes.
- Intermediate skills in MS Office, Google Drive.
