The Mellon College of Science (MCS) houses four academic departments and numerous programs and research centers that span various fields. We are searching for a Business Manager for the Biological Sciences Department within the Mellon College of Science. This is a great opportunity for someone who thrives in an exciting and ambitious work environment. You will contribute to the department while conducting the management of a $19M portfolio of general ledger and grants management accounts.
Your responsibilities will include:
Manage and analyze all accounts, including operating, sponsored projects, recharges, and restricted/unrestricted accounts. Upload budgets, monitor expenses, and provide reports, projections, and information to collaborators. Complete effort reporting and answer account-related questions. Contact funding agencies for outstanding scenarios. Budget planning and forecasting of all departmental funds and endowments. Adhering to all timelines and requests about the Financial Review process. Be responsible for and approve departmental procurement activities to ensure compliance with university and sponsor policies (purchase orders, purchasing cards, and reimbursements). Perform vital transactions and recordings (Internal Award funding, cost-sharing funding, transfers, GL/GM reconciliations). Maintain communication with the department head, directors, and faculty regarding balances, income, and expenditures. Serve as an advisor in matters relating to financial arrangements for faculty and overall department operations. and establishing departmental processes and policy documents. Oversight of all department's proposal process and provide support when needed. Agencies include but are not limited to the NIH, NSF, Army, Air Force, State Government, and multiple Foundations. Ensure that all proposals are submitted in conformance with the agency solicitation and within the required software (Grants.gov, Research.gov, Fastlane, NSPIRES, etc.). Handles all post awards functions including monitoring and reporting of grant activity. Ensures compliance of E-Verify/COI, human subjects or animal protocols on grants. Supervision/management and performance reviews of department staff. Leads all aspects of departmental processes relating to new hires, personnel changes, and terminations. Handles hiring in Workday, managing fixed-term appointments, reappointments, merit review, and student employment. Participating in hiring decisions when appropriate and facilitating the offer letter process. Ensures effort procedures are completed in a timely fashion by reviewing and completing LD assignments. Maintain annual space and property audits.

You should demonstrate:
Ability to work independently and as part of a team, in a time-sensitive, high-volume work environment while running several projects at a time. Proficiency in interpreting and applying laws, regulations, and policies related to sponsored programs, such as federal, state, and local agency regulations/procedures, FAR, CAS, GAAP, and OMB Uniform Mentorship governing research administration. Knowledge and skill with Oracle Self-Service Applications (SSA) and Core Applications (Grants Management, Purchasing, Accounts Payable, Accounts Receivable) Demonstrate sensitivity in maintaining and safeguarding confidentiality. Ability to prioritize projects and tasks, adhere to timelines, and maintain accurate, detailed records while ensuring high levels of accuracy in all work produced. Excellent interpersonal skills, with the ability to interact effectively with a diverse community of faculty and staff, as well as communicate clearly with external partners.
Qualifications:
Bachelor's degree in business administration, accounting, finance or related field required; Master's degree preferred. A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered. At least 5 years of proven financial and management experience. At least 3 years of sponsored projects administration experience in an academic setting. Certified Research Administrator (CRA) preferred. Working familiarity with grants.gov, Fastlane, eRA Commons, and other electronic research administration tools highly desired
