HJF is seeking a Disbursements Account Coordinator II to provide support for HJF inter-institution activities including initiation, pre-payment, invoicing, close-out and tracking of transactions in both HJF and customer systems. This role will administer the primary disbursement areas and ensure that the functions are performed accurately, in a timely manner, and in compliance with applicable regulations.

This position will be in support of the Disbursements team within the Finance department.

The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is a nonprofit organization dedicated to advancing military medicine. We serve military, medical, academic and government clients by administering, managing and supporting preeminent scientific programs that benefit members of the armed forces and civilians alike. HJF's support and administrative capabilities allow military medical researchers and clinicians to maintain their scientific focus and accomplish their research goals.


Responsibilities

  • Lead the preparation of inter-institutional disbursement requests utilizing HJF's Purchase Order (P.O.) system to record the transaction. Maintain tracking systems from action creation and for open actions. Ensure timely set-up of advance funds. Escalate any processing issues in a timely manner.
  • Review monthly expenses and ensure each is appropriate and reasonable. Ensure alignment with HJF policies and practice. Prepare excel file for Accounts Payable processing. Resolve financial issues.
  • Work closely with close-out team to provide current status of open commitments on B.P.O.s and P.O.s pending expiring awards. Coordinate with appropriate HJF resources to set up and monitor tentative funds in HJF's financial systems to enable Principal Investigator's fund usage during the award period of performance.
  • May perform other duties and responsibilities as assigned or directed by the supervisor. This may include attendance of and participation in required training for role.

Qualifications

Education and Experience

  • Associate's Degree with a minimum of 3-5 years of experience.

OR

  • High School diploma or GED with a minimum of 6-8 years of experience.

Required Knowledge, Skills and Abilities

  • Detail oriented.
  • Very strong interpersonal skills.
  • Problem solving and analytical skills.
  • Ability to administer large amounts of transactions from different systems.
  • Ability to handle multiple tasks and make independent business decisions.
  • Strong Microsoft Excel skills; Knowledge of Oracle Purchasing and/or Accounts Payable system, Federal Defense Agencies Initiative (DAI) system and account reconciliation a plus.
  • Ability to obtain and maintain a T1/Public Trust Background Check.

Work Environment

  • This position will take place primarily in a telework setting.
  • May be required to report on site as needed.

Compensation

  • The hourly pay range for this position is $24.09-$31.25. Actual hourly pay will be determined based on experience, education, etc.
