A Brief Overview Under the supervision of the Program Director of the Pediatric Residency Program and the Program Manager, this role is responsible for operations that support the pediatric residency training program at CHOP including resident recruitment, new resident orientation and core curricula.
The tasks are complex, diverse, and require an understanding of strategic process. This individual must be able to work flexible hours, especially during the recruitment and orientation seasons. The individual must be able to work autonomously and make independent judgments, develop and adhere to work timelines, draft core documents and templates, communicate effectively with program leadership and Department of Pediatrics Faculty, provide guidance to residents about institutional policies, manage extensive data files and electronic information sites, and provide support for continuous quality improvement in graduate medical education.
What you will do
- Provide support to the chief residents in creating the annual resident schedule
- Provide support to the chief residents in creating/maintaining the Y Block and overall curriculum design
- Provide support to the Director of the Global Health Track (GHT), which includes but is not limited to the following
- Coordinate resident GHT rotations with the chief residents and the Director of the GHT including disseminating GH applications requests and organizing relevant information to be shared with program leaders
- Communicatewith lead faculty at various global health sites
- Collaborate with the residency GH education lead to plan educational sessions for the residents in the GHT
- Coordinate and schedule pre-engagement preparatory sessions for all residents participating in the GH rotations
- Track required documentation for travel and scholarly output
- Partner with administrators in the Global Health Center to plan the annual Global Health graduation
- Assist with outcome and data collection related to the department's education mission. This includes the use of RedCap and/or other survey tools
- Run and interpret data reports and be able to effectively use Excel, Outlook and other technology
- Knowledge of quality improvement methodology
- Knowledge of survey design and data collection
- Basic knowledge of the ACGME
- Proficiency in the use of Qgenda
- Excellent communication skills
- Strong writing and reading aptitude
- Strong organizational and follow-up skills
- Ability to collaborate with stakeholders at all levels
- Ability to handle confidential materials and matters
- Ability to work independently with minimal supervision
- Ability to handle multiple tasks and projects independently and simultaneously
- Other duties as required
Education Qualifications
- Bachelor's Degree Required
Experience Qualifications
- At least five (5) years executive support and overall coordination Required
Skills and Abilities
- Knowledge of accounting principles
- Knowledge of administration principles
- Knowledge of ACGME, Education Commission for Foreign Medical Graduates (ECFMG), Federation of State Medical Boards and PA State Board of Medicine requirements.
- Knowledge of USIA (ECFMG) requirements for physician Visas.
- Knowledge of ERAS, Microsoft Word, Excel, Access Software programs.
- Knowledge of JCAHO rules and regulations.
- Advanced proficiency with office software (Microsoft Office) including word processing, spreadsheet, and presentation software (Word, Excel, PowerPoint)
- Excellent communication skills
- Strong writing and reading aptitude.
