Job Description:

The senior administrative assistant serves as the general office manager for the Office of the Dean, supporting the dean, associate deans, directors, and program coordinators through the highest levels of professional interaction possible. As a primary point of contact for engagement with the College of Business, this individual engages with both internal and external stakeholders including industry partners, students and their families, campus colleagues, and faculty. The Senior Administrative Assistant to the Dean plays a critical role in advancing the mission of the College and creating an environment where students, staff, and faculty can be successful. This is a position of significant responsibility and impact, with core leadership, organizational, and team-building components.

Typical functions include:

  • Communication: Serves as primary liaison, on behalf of the dean, to the Business Leadership Board, campus facilities and event planning, the provost's office, other campus colleagues, alumni, students, and other external constituents. Answering phones and emails, responding to inquiries, and preparing correspondence
  • Scheduling: Managing calendars, scheduling meetings and appointments, creating agendas, and making travel arrangements for the dean,associate deans, and campus visitors such as Executives in Residence. Coordinating college leadership team meetings, all hands meetings, and other events (campus based or otherwise) as required.
  • Organization: Maintaining filing systems (electronic and paper-based), records and contact lists including faculty CVs, performance evaluations, board bios, and other needs relevant to the College of Business and its operations. Supports college needs related to strategic planning with tracking of data, key performance indicators, and other metrics, as required. Assembles and maintains updated data in one location for access by College and departmental leadership.
  • Budgeting: Preparing and submitting expense reports, cost center verifications, and monthly p-card statements; organizing facilities and capital purchases at the dean's request in collaboration with the associate deans.
Qualifications
  • Minimum of 5-10 years of related work experience.
  • Analytical skills with an in-depth knowledge of information systems and technical expertise with Microsoft operating systems, Access, Excel, PowerPoint, Word, Outlook/email, and Internet end-user applications.
  • Strong attention to detail, professional written and verbal communication skills.
  • Excellent critical thinking, customer service, problem-solving, and decision-making skills.
  • Ability to multitask in a fast-paced environment.

Preferred Qualifications:

  • Bachelor's degree
  • Previous administrative experience in a fast-paced environment
