Posting Summary |
Rutgers, The State University of New Jersey, is seeking a Staff Assistant for the department of Pediatrics at the Robert Wood Johnson Medical School.
The Staff Assistant provides general administrative and management support to Pediatric Chair and divisions within the Department of Pediatrics. Coordinates office operations and serves as liaison with various units and administrative offices throughout the University.
Among the key duties of this position are the following:
- Responsible for providing administrative, analytical, computing and staff support for the Pediatric Chair and Divisions of the department of Pediatrics.
- Responsible for maintaining the Chair's calendar, including meetings, conferences and travel arrangements as well as compiling and submission of reimbursement expenses.
- Schedules meetings and manages calendar for the Senior Director of Administration.
- Accountable for certain aspects of department's Annual report (including coordinating divisional photography, final production acceptance to publisher and distribution).
- Executes assignments and tasks requiring data collection, information gathering, analysis, data entry/retrieval, data base maintenance, and forms and graphics generation utilizing a variety of software packages.
- Maintains essential records and assists in the maintenance of all activity files.
- Prepares agendas for various meetings, processes correspondence, reports and recommendations of a confidential nature, proofreads and edits correspondence as needed. Maintains mailing lists.

Qualifications
Minimum Education and Experience |
- Bachelor's Degree in Liberal Arts, Public or Business Administration, the Social Sciences or a related field, plus two (2) years of professional level experience, including demonstrated experience with independent thinking and follow-through in a business office, government agency, or university setting.
- Additional related experience may be substituted for the degree on a year-for-year basis.
