GENERAL SUMMARY:

Potential candidates for this position must meet the following requirements:

  • High School Diploma, or equivalent
  • Bachelor's Degree preferred.
  • FINRA Series 7, 66 (or 7, 63 & 65) and CA Life & Health license preferred, but not required.
  • Additional incentive opportunity with/upon appropriate securities licenses

The Client Service Associate position is responsible for completing a variety of tasks that supports the Registered Representative in meeting all regulatory, compliance, record-keeping and transaction processing requirements. The work may have technical aspects, requiring the interpretation and application of complex policies, procedures, and regulations. It may involve regular interaction with representatives of business organizations, regulatory organizations, governmental organizations, third party vendors and all levels of Kinecta Federal Credit Union

NATURE AND SCOPE OF POSITION:

The position works with a minimal amount of supervision and direction and is authorized to take reasonable actions necessary to carry out the assigned responsibilities of the position, provided that such action is consistent with cost-effective practices and is consistent with the policy and procedures of Kinecta Federal Credit Union.

SUPERVISORY RESPONSIBILITIES:

There are no direct supervisory responsibilities but will be expected to take the lead on assigned projects and may oversee the work of others working on assigned projects.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Perform a variety of operational functions to ensure the registered representative adheres to the policies of the Firm, the Credit Union and our Third-Party Broker-Dealer. These requirements may include:
    1. Preparing, submitting and confirming account documents required by our registered representatives for the timely and accurate execution of client transactions.
    2. Preparing, submitting and confirming account transfer paperwork between registered representatives.
    3. Preparing monthly systematic investment instruction letters. Reviewing current investment choices against prior instructions, making necessary changes and preparing documentation. Processing checks as directed.
    4. Researching and resolving trade, investment and withdrawal corrections in client accounts.
    5. Regularly acts as the liaison for our registered representatives between our broker-dealer, direct business companies and regulators.
  • Perform a variety of compliance functions to ensure the registered representative remains compliant with our Regulators, the Credit Union and our Third-Party Broker-Dealer. These requirements may include:
    1. Participating in internal audits.
    2. Assisting with requests from all external auditors.
    3. Ensuring the registered investment person is completing and maintaining all Branch Office Files, Client Files and Branch Office Signage as directed by our Broker-Dealer.
  • Actively manage incoming and outgoing telephone calls for the registered representative, establishing appointments and servicing members.
  • Analyze and reconcile commission reports
  • Inputs and maintains a member database to effectively target members for marketing and follow-up.
  • Assist with problem resolution of time and amounts of trades, systematic investments and withdrawals with member accounts held at investment companies, or with broker/dealer.
  • Works with Investment operations department for correction and completion of accurate documentation.
  • Reviews and ensures accuracy in the completion of all trade and account documentation
  • Assists with preparation, RSVPs, and attendance at seminars and other marketing activities as needed
  • Responsible for assisting in the maintenance of all branch files and reports. Performs timely and accurate filing of these records and ensures that all compliance regulations governing these files are observed in accordance with regulating bodies and broker/dealer office procedures
  • Completes production reports as required
  • Produces monthly systematic investment instruction letters per policy and procedures.
  • Performs special projects as required
  • Assists with the coordination of compliance reports and filings with the broker/dealer.
  • Maintain registered representative's appointment calendar.

NON-ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Maintains a general working knowledge of financial services and products
  • Completes special projects as requested.
  • Cooperates with Credit Union projects and sales activities
  • Performs other duties as assigned or requested.

MINIMUM QUALIFICATIONS

Knowledge, Skills and Abilities:

  • Knowledge of investment and insurance products and services.
  • Knowledge of SEC, FINRA and NCUA rules and regulations.
  • Knowledge of rules and regulations governing the sale of non-deposit investment products on the premises of a bank or credit union.
  • Ability to create and reconcile commission, production, and various other reports.
  • Ability to operate proprietary software used for account creation, trade entry, client information management, etc.
  • Ability to establish priorities and meet tight deadlines.
  • Excellent interpersonal, written and verbal communication skills and computer proficiency are essential. (e.g., MS Word, Excel, Outlook, etc.)
  • Good decision making and judgement abilities to ensure the highest level of standards and guidelines of the investment program are maintained.
  • Read and comprehend department, broker/dealer, and regulatory policies and procedures, standards and guidelines.
  • Work may require flexibility with regards to scheduling days, hours, and work location, depending on business needs. May require travel to off-site locations for meetings and training.
  • Knowledge of policies governing the processing of investment transactions and required record keeping

Education, Training and Experience:

Potential candidates for this position must meet the following requirements:

  • High School Diploma, or equivalent
  • Bachelor's Degree preferred
  • FINRA Series 7, 66 (or 7, 63 & 65) and CA Life & Health license preferred, but not required.

One year of relevant professional-level work experience may be substituted for one year of required education.

WORKING CONDITIONS:
  • The working environment is generally favorable. Lighting and temperature are adequate, and there are no hazardous or unpleasant conditions caused by noise, dust, etc.
  • The job may require flexibility with regards to scheduling days, hours, and work location, depending on business needs.
  • The job is typically sedentary but may require standing and walking up to 35% of the work time to transfer files, ask questions, and related activities.
PHYSICAL ABILITIES, MENTAL DEMANDS, AND WORK ENVIRONMENT

Must be able to exercise sound judgment, effectively plan and be well organized, have excellent oral and written communications skills, work well under changing timelines, take the initiative and be flexible and cooperative. Accuracy, timeliness and maintaining confidentiality related to member, employee information and company records is required.

While performing the job duties of this position, the employee is regularly required to sit; talk or hear in person and by telephone; use hands to operate standard office equipment; reach with hands and arms; lift minimum 10 lbs.

The employee is frequently required to walk and stand. Vision abilities required by this job include close vision and the ability to adjust focus to read and operate office equipment, as necessary. The employee works under typical office conditions and noise levels.
