Student Involvement

Job Description

To administer (develop, advise and implement) specific services and programs designed to promote the effective functioning of student and / or student groups and contribute to the formal and informal educational environment within the University. Performs a variety of independent, specialized office support duties for Student Involvement Office. Executes documents and reports on business and fiscal operations

Key Responsibilities:

  • Accounts Payable: collect invoices, verify funding, assign account numbers, complete credit card payments and non-PO vouchers
  • Accounts Receivable: prepare statements, review accounts receivable, process payments for department and student organizations
  • Procure / purchase equipment and supplies for department and student organizations; complete requisitions, purchase orders and reconciliation of purchasing cards
  • Management of student organization and departmental accounts, journal entries, internal service entries, deposits, posting of student charges
  • Arrange conference / competition / tournament travel for student organizations; Process travel reimbursements
  • Serve on campus advisory committees (PeopleSoft and Procurement)
  • Prepare contracts, facility usage agreements and performance agreements for speakers, equipment rental, performers and off campus facility rentals for student organization events
  • Complete requests for proposal / bids for charter bus services, student newspaper, student yearbook and St. Pat's merchandise
  • Arrange insurance coverage in collaboration with Administrative Services for sports clubs, media and special event insurance for student organization
  • Prepare reports and financial statements for department and student organizations
  • Evaluates and selects solutions from established options/procedures and/or experiences
  • Impacts own team through the quality of the services or information provided
  • Works with various parties/audiences (e.g., vendors, customers, internal or external constituencies)
  • Provide general office support, maintain calendars, schedule appointments, take meeting minutes, make travel arrangements, reserve facilities, manage supply orders
  • Accounting and fiscal tasks; AR/AP, purchasing, budget reporting, maintain grant funding requirements, HR processes (job posting, scheduling interviews, offers, etc.)
  • Gather, organize, and compile data on various spreadsheets from multiple sources, create reports and prepare external communications
  • Provide functional supervision and project support to student volunteers, approve and process payroll for office staff and student workers
  • Assist with vendors, contracts, and event planning; coordinate program requests, communicate with campus stakeholders to enlist volunteer support, track process flow
  • Perform related duties as assigned
Minimum Qualifications

An Associate's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

Proficient in Microsoft Office, Excel, Outlook, Gmail, and Google docs.

Anticipated Hiring Range

The anticipated hiring range for this position has been established as $16.82-$19.15 hourly.

Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
