Job Description

The Area Administrative Support (AAS) position will perform a variety of tasks focused on providing oversight of the front desk processes; including supervision and training of student desk staff, assisting with residence hall occupancy and key processes, and additional clerical support to hall staff as assigned.

Essential Functions

  • Supervises approximately 30-40 students and 2-4 student desk supervisors.
  • Interview and Select Desk Supervisors, Desk Attendants and Mail Attendants for each desk.
  • Support, Coach, performance evaluations, and progressive discipline process Schedule employees. Visit each front desk (4 - 5) daily to observe and give direction to staff. This includes processing CAPS for updating employee personnel actions and updating and archiving staff in Subitup software.
  • Training and professional development. Train Desk Supervisors, Desk Attendants, and Mail Attendants at semesters and throughout the year.
  • Participate in departmental in-services and retreats. Develop and maintain office and desk reference manuals.
  • Expected to understand the operations of door access & security of the residence halls by utilizing the CBord and SMS Software systems. With this understanding, this position will be required to be on-call on a rotating basis for after hours and weekend needs for providing services to residents with trouble accessing their building or rooms.
  • This position will also provide business day back up to the Door Access & Security position as needed.
  • Door Access - control keys. Compile monthly key inventories for rooms in each of the halls in the area, maintain key tracking data, submit work requests for lock changes bill for lock-out charges in keyed and carded halls, support kiosk, maintenance call-outs, and software troubleshooting.
  • Provide regular surge support for the main office of Residential Life to assist them in providing customer service support to greet guests, answer department phone, route calls to appropriate person(s), answer department inquiries from interested parties (prospective and current students, parents) and other general questions.
  • Maintaining and completing accurate payroll for 30-40+ students and 2-4 Desk student supervisors. Desk coverage.
  • Oversee mail & packages distribution throughout the residence halls. This includes following up on all missing mail and package issues, forwarding mail and packages as required by the US postal services and other carriers.
  • Departmental Committees and Summer assignments include working with summer camps and conference in doing room assignments and roster preparations for Summer Welcome and other conferences. This will require experience with excel and the conference program. Other summer responsibilities include working the Mizzou Fair for summer orientation, This will involve working with incoming students and parents while presenting Mizzou and the Department of Residential, Life in the best possible light.
Shift

Monday - Friday; 8:00 a.m. - 5:00 p.m.

Additional hours will be required during peak times (i.e. staff training periods, hall openings/breaks/closings, staff recruitment and selection periods).

This position may require evening and weekend hours supporting activities and programs within the department. Occasionally division and campus projects may require additional hours outside of your normal schedule.

Minimum Qualifications

High school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

  • Professionalism, strong communication skills, and a positive attitude
  • Previous supervisory experience with an understanding of issues of diversity; demonstrated leadership and effectiveness in promoting respect and appreciation for diversity and pluralism among students and staff
  • Strong computer experience, including knowledge of spreadsheets and database management
  • Proven organizational and analytical skills
  • Valid driver's license
Anticipated Hiring Range

Salary Range: $14.51 - $19.00 per hour, paid on a bi-weekly basis.

Grade: GGS-006
