Position Description
Performs administrative duties in the management and coordination of a large specialized project and program. Under general supervision, performs varied and complex administrative duties requiring independent judgment and the application of established policies and procedures. May provide supervision and direction to clerical, para-professional or professional staff members.

Major/Essential Functions
  • Direct administrative support to the AVP and VP for all functions to include, but not limited to, calendar schedules, budgets, travel, accounting, personnel items as related to Facilities and Safety Services.
  • Gathers, evaluates and provides summary information, reports, etc. with assessments utilizing complex qualitative and quantitative data such as financial information, e.g institutional monthly ledger accounting reports to fulfill departmental requirements and organizational initiatives.
  • Participates in and responsible for a variety of departmental activities and requirements such as procurement, training, planning and recruitment committees.
  • Departmental lead in the preparation of annual operating budget, WEAVE reporting, SACS Accreditation documentation requirements, Joint Commission documentation requirements, and Campus Condition Index (CCI) report.
  • Assist with the monitoring and optimization of key performance metrics/scorecards including but not limited to project accounting on construction and renovation projects in support of institutionally managed work.
  • Works with Accounting, Purchasing/Payment Services, and Budget departmental personnel to ensure budget revisions, new funds, const transfers are handled, payments are completed timely and ensuring funding issues are identified and resolved quickly to avoid accounting problems.
  • Work closely with Contracting personnel to effectively maintain required maintenance contracts, coordinating RFPs as necessary and assisting FSS to sustain current vendor contracts.
  • Ability to prioritize, multi-task and meet critical deadlines.
  • Ability to work and maintain good working relationship with diverse staff at all campuses. Such as project coordinators, maintenance personnel, safety, materials management, custodial, work control, technical, administrative and executive personnel.


Required Qualifications
Bachelor's degree in the area of specialization or closely related field. Four years of related administrative and technical experience. Additional job related education may be substituted for the required experience on a year-for-year basis.
