Your Role With Us:Coordinates projects as determined by leadership; Assists in the coordination and tracking of projects from conception to completion, monitoring scope, schedule, and goals. Interacts frequently with manager and director to assess situations/requests and follow-up appropriately. Utilizes creative thinking and acquired knowledge to assist managers in decision making process; Conducts independent research and data collection as needed to support projects. Develops and maintains the infrastructure needed to support department goals; Completes assigned work with a multi-functional, multi-organizational team by researching issues, summarizing information, and working with relevant stakeholders to achieve project goals. Department Administrative Support; Serves the team for administrative duties as needed: memos, reports, filing, telephone coordination, ordering supplies, meetings (includes scheduling, set up, facilitation, obtaining necessary resources, minutes), onboarding support, department communications, EOP updates, mail, travel coordination and reimbursement, purchasing assistance and additional administrative support, as required.Track and follow-up on all Purchase Orders, Invoices, and new contracts to completion; Assists sending out Blanket and Standing Purchase Order renewal notifications, maintain tracking log; Assign contract numbers to new contracts.Document and upload completed contracts; Gather processing data through analysis, reporting, and presentations, as required; HIPAA BAA agreement tracking and storage; Renewal notices, review and process simple amendments, addendums or statements of work; Receives and routes Procurement Card bill and supporting documentation to A/P.Coach 1:1 with new and contracted employees, serve as a resource for additional assistance.Lead implementation of revised processes and workflows; Coordinate RFI, RFQ, RFP activities up to the vendor selection phase, including drafting and creating applicable documents.Lead, support and participate in Kaizen work Quick & Easy Cards, Board/Tracker, Visibility Wall, Sustain and Operate Board, Huddle Participation, etc.Total Rewards Offerings: Salem Health's comprehensive benefits package prioritizes your mental and physical health, financial stability, family obligations and professional growth.Relocation assistance available for qualified positionsFull comprehensive medical, dental, and vision plansBasic and voluntary life insuranceShort and long-term disabilityLive Well Wellness ProgramEmployee Assistance Program (EAP) 401(K) retirement plan with employer contributions.Generous paid time off (PTO) accrual and holiday pay Onsite fitness center with 24/7 badge accessEducation assistance programPublic service loan forgiveness (PSLF) eligible employer https://studentaid.gov/Food and drink discounts in the cafeteriaImpressive discounts offered by Nike, Adidas, Carhartt and othersBackground/Expertise:High School Diploma or GED Equivalent required; Bachelor's Degree preferred.Three (3) years demonstrated successful experience in roles requiring project coordination and business and/or administrative support required; One (1) year experience in Contracting/Procurement Office preferred.One (1) year healthcare experience preferred; Project Management Certification preferred. Ability to work with a high degree of independence, and assess when to involve others.Advanced skills with Microsoft Office Suite; Ability to work and communicate effectively with multiple levels of the organization; Excellent attention to detail and follow through.Creative problem-solving capability; Excellent skills in verbal and written communication; Highly organized and efficient with ability to track and manage multiple projects and to effectively prioritize.
