Job Summary

Supports the Department of Communications and Marketing by leading the coordination, monitoring, and supports of all special and departmental projects by implementing procedures and policies to streamline departmental processes. Serves as the liaison between departments, schools, and stakeholders involved in the planning and execution of all public-facing events. Assists with graphic design, record keeping, coordinating meetings and trainings, obtaining supplies, coordinating production, and distributing documents.

Salary Range, FY25: $62,689 - 90,032 (12-month)

Qualifications

  • High school diploma or equivalent required.
  • A bachelor's degree in hospitality, business administration, marketing, communications, or a related field is preferred.
  • Three to five years of documented experience in event planning is necessary.
Responsibilities

  • Collaborates with internal and external stakeholders to plan, produce, and support events from concept to completion, aligning with the district's goals.
  • Responds to districtwide event inquiries, conducts venue walkthroughs, and adheres to district procedures for planning public and media-facing events.
  • Conducts the initial project intake through the Project Planner system.
  • Coordinates with the Planning Assistant to maintain and monitor the departments project planner for team assignments.
  • Designs, creates, and orders branded templates for flyers, postcards, and other materials.
  • Develops event-specific materials such as signage, sign-in sheets, maps, etc.
  • Prepares general correspondence, memos, charts, tables, graphs, and work plans to communicate departmental activities.
  • Maintains marketing toolkits in collaboration with relevant team members.
  • Assists staff with ordering promotional items, banners, and school posters.
  • Prioritizes tasks to ensure deadlines are met.
  • Takes initiative during staff absences to keep projects on schedule.
  • Schedules and organizes complex activities, including meetings and training sessions for the department.
  • Actively supports the MPS Strategic Plan.
  • Completes other duties as assigned.
