Job Description Summary

The Regional Operations & Finance Lead is a critical role that partners with the Regional PDS Leader to assist with the implementation of strategic and operational excellence initiatives. This individual manages and oversees the regional operations and financial functions in an efficient and effective manner.

Job Description

RESPONSIBILITIES

Regional Operations

  • Act as key business partner for Regional PDS Leader to achieve short-and-long-term objectives set for the region and ensure operational excellence through structural optimization and process efficiencies
  • Follow policies and procedures that drive operational consistency, excellence, and efficiency within the region
  • Provides timely, accurate and complete reports on the operating condition of the region
  • Draft Standard Operating Procedures (SOP's) in collaboration with Regional PDS Leader and maintain library of regional SOP's
  • Communicate, support and enforce company policies, procedures and initiatives throughout the region
  • Provide administrative support as necessary to including expense reports, processing invoices, schedule management, etc
  • Work with the Regional PDS Leader to establish or cultivate a positive culture in the region and uphold the firm's values, mission and standards

Human Resources

  • Partner with Regional PDS Leader and Local PDS City Leaders with development and management of PDS staff - position approval, recruiting, onboarding and orientation, staff development and training, and performance management

Contract Management

  • Assist with the coordination of Regional PDS Leader signature on all client contracts
  • Work with Regional PDS Leader and Legal Counsel to determine if changes to standard contracts/agreements are required
  • Create and maintain regional contract library
  • Perform periodic contract compliance audits within region to confirm project managers are collecting COI's, complete invoice packages and Lien waivers

Marketing and Business Development

  • Assist with the planning and project management of multi-market, strategic client, and other high-profile proposals and presentations, in coordination with the marketing team
  • Supports the coordination for both internal and external communications efforts in the region
  • Tracks new projects and "wins" for feature in internal PDS communications
  • Coordinates new hire announcements with marketing - email and social media

Financial Reporting, Pipeline Management, and Forecasting

  • Support the Regional Leaders in the development and communication for all budgeting and forecasting
  • Support the review of monthly financials
  • Investigate and resolve financial variances between the PDS Markets and PDS Finance
  • Review pipeline report for accuracy and follow-up with Market Leaders, as needed to update
  • Provides timely, accurate and complete reports for the region

C&W Invoicing (Workday)

  • Possess an understanding of C&W's invoice procedures
  • Oversee PDS Finance/Billing Team for all billing, revenue recognition and receivables within the Region
  • Work with Market Leaders and Billing Coordinators to review all project expenses associated with a closed project
  • Review outstanding receivables and work with Market Leaders and Regional Leadership to determine strategy for collecting payments

Expense Management

  • Understand expense policy for compliance and correct coding
  • Review and approve all expense reports and determine if expenses are appropriate, categorized correctly and in policy in Workday

Platform Integration

  • Partner closely with leaders in Finance, Human Resources, Information Technology, Legal, Research and Marketing to integrate operational support for all shared services.
  • Leverage internal company-wide resources and advocate, support, and increase adoption of firm-wide initiatives.
  • Collaborate with counterparts in other regions to learn and utilize best operational practices

MINIMUM REQUIREMENTS

  • Bachelor's degree
  • 5+ years of operations/administrative experience and 2+ years of executive level support experience
  • Or any similar combination of education and experience
  • Prior experience in Construction or Commercial Real Estate is highly desired
  • Proficiency with Microsoft Office Suite
  • Professional demeanor and appearance with ability to handle confidential/sensitive information with discretion
  • Excellent verbal and written communication skills
  • Ability to prioritize and demonstrate excellent time management
  • Proven record of providing excellent internal and external customer service
  • Ability to effectively work with vendors, employees, and management to ensure the smooth operation of the administrative functions of the office
  • Excellent interpersonal skills
