About the Role

This Trade Operations Coordinator role reporting to Trade & Distribution will be responsible for supporting the management of customer order volumes, pricing, related chargebacks, and customer service for Direct Sales Accounts. The position will work closely with other teams and functions within the company, including vendors and our 3PL provider. This position will be based out of our home office in Brentwood, TN.

Responsibilities

  • Manage customer inventories to meet service level and inventory.
  • Process and coordinate the shipment of Specialty Pharmacy orders between the 3PL provider and preferred carrier.
  • Assist with customer service-related requests, such as, PO tracking, product inquiries, vendor notification requests, document requests, etc.
  • Work with 3PL Customer Service team to ensure customer orders are being processed and ship in a timely manner.
  • Review open orders and action any issues that could prevent order from shipping on schedule.
  • Resolve and investigate pricing discrepancies, contract interpretation issues, or other disputes related to chargebacks through effective communication and negotiation with wholesalers, 3PL provider, and internal organization stakeholders.
  • Identify improvement opportunities and work with internal teams to implement changes in processes.
  • Support Direct Sales Accounts through order monitoring, order tracking, & account creation.
  • Provide superior customer service and maintain effective communication with internal and external customers.
  • Provide Customer Operations Analyst Chargeback and Financial Returns support.
  • Partner with 3PL provider and wholesalers to resolve chargeback errors associated with pricing, membership, eligibility.
  • Ensure confirmations and reconciliation reports (EDI 849) are accurately stated.
  • Resolve and investigate pricing discrepancies, contract interpretation issues, or other disputes related to chargebacks through effective communication and negotiation with wholesalers, 3PL provider, and internal organization stakeholders.

Required Qualification & Skills

  • Bachelor's degree in business, or related experience required
  • 2-4+years of professional experience preferably in Customer Operations Financial services knowledge
  • Strong, communication, and interpersonal skills required
  • Ability to prioritize and make decisions in a fast-paced environment
  • Strong client service orientation and customer service mind-set
  • Strong execution, analytical and problem-solving skills
  • Ability to build strong relationships and communicate product issues internally
  • Strong Microsoft Office Suite in particular Excel and Microsoft Word
