As a Sales Support Rep I, you will support sales representatives as needed in overall sales efforts. Process, prepare, and manage the ordering, internal logistics, shop preparation, and delivery of sales orders. Coordinate with vendors and staff for preparing and securing orders. Review, process, and reconcile all relevant accounting estimates, invoicing, and billing related to the sale. Communicate necessary updates to sales reps throughout the process to ensure they have a clear understanding of the status of their deals between buyer's order submission and invoicing/delivery. What You Will Do in This Role:
- Administer and be the internal point of contact for sold deals from start to finish (receipt of buyer's order to machine delivery).
- Process machine sales to customers.
- Compare buyer's order vs. current inventory to identify and coordinate ordering of inventory, internal transfers, scheduling of work orders, invoicing, and accounting entries required to fulfill customer order.
- Work with Sales Admin to place machine orders and coordinate and track logistics.
- Maintain status updates to Sales Reps via internal ticketing system, email, and phone.
- Maintain internal computer records "memo line entries" to notate inventory hold/sold status.
- Execute invoicing; create all necessary charge estimates and accounting journal entries to support sold deals.
- Collaborate with internal Finance Managers to support customer financing requests required to fulfill customer orders.
- Manage and update machine files to include all necessary financial, warranty, delivery and all other subsequent record keeping documents related to the fulfillment of sold deals.
- Coordinate machine preparation with the service department and outside vendors.
- Work with Service Department to review, order, and coordinate logistics and delivery details in order to facilitate installation of all necessary attachments and parts, and prepare machines to customer specifications.
- Prepare and facilitate logistics communications for all necessary internal transfers of machines, attachments and parts.
- Communicate and follow-up with supported sales reps for completion status and detail of requested service items.
- Work with outside vendors for additional required service work and processing of associated invoices.
- Coordinate and manage asset delivery for sales-related functions.
- Prepare and submit logistics communications/load posts and required paperwork to necessary departments within Foley and outside vendors and/or government or regulatory agencies.
- Provide and manage POs to support the proper billing/coding of freight invoices.
- Coordinate with appropriate internal yard personnel to ensure asset readiness to meet delivery expectations
- Coordinate, reserve, and track demo and loaner machines for assigned sales reps.
- Coordinate with Yard Employees and Rental Counter for the needed cleaning, repairing, assembling, and staging of equipment and attachments for demo/loaner equipment.
- Coordinate with supported sales reps to schedule customer walk-arounds for receipt of demo/loaner equipment.
- Coordinate with supported sales reps to obtain and retain on file completed demo/loaner liability waivers to support all demos/loaners.
- Provide and manage POs to support the proper billing/coding of demo/loaner invoices.
- Learn and understand relevant equipment and rental sales areas, machines, and product configurations.
- Cross-train on all sales support areas of focus (GL, CCE, Sitech, EPG & Used).
- Travel is required for training and/or to assist at other locations.
