- Monitor multiple athletic department budgets and reconcile accounts with the University general ledger.
- Provide financial guidance for coaches and staff based upon monthly reconciliations. Deposit revenue, process check requests, secure travel advances, process budget transfers and assist in processing all financial documents required by ERAU policies and procedures to maintain accurate department operations. Process invoices through Accounts Payable to ensure timely payment to athletic department vendors.
- Oversee all apparel and equipment procurement processes including oversight of all team purchases, tracking, and fulfilling purchase orders, processing timely journal entries, preparing purchase requisitions.
- Serve as the chief administrative officer for all ERAU athletics camps, to include balancing all financial data. This includes approving camp spreadsheets to verify revenue, expenses and all payments are processed, assisting coaches with arranging for camp meals, working with Human Resources and Student Employment to hire camp coaches, processing all compliance paperwork associated with athletic camps, monitoring all camps to ensure the University's adult-to-minor ratios are being met, along with other administrative duties.
- Assist with revenue collection and provide support at both athletic events and special events throughout the year (golf tournaments, fundraisers, track meets, banquets, etc.).
- Process and manage the donated items for the annual Blue & Gold Gala.
- Serve as E-Commerce Relations Manager to protect customers' credit card data by creating secure online registration web sites called TouchNet Marketplace uStores for athletic department events as needed (team camps, special event registrations, coaches' clinics, etc.). Manage application submission, store layout/edits, order fulfillment and reporting. Ensures the athletic department is compliant with the Payment Card Industry Data Security Standard (PCI DSS). Responsible for processing all other credit card payments using TouchNet Cashiering.
- Train and assist coaches and staff on iExpense reporting system for all travel and purchases.
Qualifications
Required Qualifications:
- Bachelor's degree
- (3-5) years of work-related experience
Required Skills Knowledge and Abilities:
- PCI Compliance Training
- Working knowledge of pertinent software systems including Microsoft Office,Workday, Oracle, TouchNet Cashiering, and TouchNet Marketplace
