Job Title: Service Administrator

Shift: First Shift, Onsite

Pay Rate: $30 per hour

Employment Type: Direct Hire

Position Overview:

The Service Administrator is responsible for managing warranty service support, parts coordination, and quoting services for customers, while providing comprehensive support to field service and technical staff. As the primary contact for customers seeking after-sales services, this role will handle requests across multiple brands, both in the US and internationally.

Key Duties and Responsibilities:



  • Manage and coordinate all field service visits for the field service team.
  • Document and manage customer service requests in Salesforce, ensuring accurate record-keeping.
  • Prepare and follow up on quotes for aftermarket service requests.
  • Oversee the service process from initiation to completion to ensure customer satisfaction, including service parts orders, scheduling parts arrival with service technician visits, and managing billing for service/repair charges.
  • Manage product flow in and out of the repair depot, including issuing RMAs, quoting services, and coordinating return shipping, with documentation in Salesforce RMA ticketing system.
  • Provide timely reporting on depot and field service activities in Salesforce.
  • Identify service opportunities through inbound lead follow-up and outbound email campaigns.
  • Guide customers in selecting appropriate service contracts and preventative maintenance options for their equipment.
  • Track and assign demo equipment as required.
  • Implement company practices, complete required reports, and contribute to a positive work environment.
  • Deliver exceptional customer service to internal and external customers by addressing requests via phone and email.
  • Assist customers with product descriptions, part numbers, and general inquiries on service products, pricing, and availability.



Must haves:

Attention to detail

Experience with manufacturing or RMA service

Good with talking to customers over the phone and via email

Time management

Nice to have:

NetSuites experience

Sales Force experience

Excel

This is an on-site position.
