Position Summary:

Vallen's Flexible Procurement Solution (FPS) Operations Specialist is an individual contributor responsible for assisting with FPS implementations. FPS is an inventory management system that combines advanced technology with industrial vending to drive productivity and reduce costs for businesses. This position is a customer facing position that collects customer requirements, identifies the best vending product fit and assesses the customer's site readiness. The FPS Specialist will provide post go live support by responding to basic customer inquiries and service requests.

Essential Job Duties and Responsibilities:

  • Collect and review all customer information sheets to ensure customer requirements are documented and complete.
  • Participate in kick-off meetings and communicate with project stakeholders to discuss customer needs requirements, customizations, and project timelines.
  • Utilize vendor configuration software to recommend the best vending option and layout for customers.
  • Validate whether the form, fit and function of the software recommended vending option would meet the need of the customer.
  • Maintain shared data files detailing customer-vending specifications (e.g. item, manufacturer, model, part number, dimension and vending type).
  • Complete detailed checklists and follow detailed procedures in preparation for installation and configuration.
  • Coordinate customer service request to deploy, redeploy or disengage the solution in accordance with operational procedures.
  • Respond to basic customer inquiries and escalate technical issues to Dispensing & Configuration team.
  • Monitor and maintain project schedules to maximize productivity and ensure projects are completed on time.
  • Participate in process improvement initiatives (e.g. hardware and software enhancements, inventory control development).
  • Review customer-reporting needs and communicate with Dispensing & Configuration team to ensure reports are capturing the performance of the dispensing tool.
  • Travel to customer sites to support installations and/or on-going maintenance of the FPS solution.
  • Provide on-call technical support for the FPS solutions on a rotational basis.
  • Performs other duties as assigned.

Job Qualifications:

Associates degree or 2-3 years equivalent work experience. Relevant work experience should include:

  • Excellent verbal and written communication skills
  • Motivated self-starter
  • Excellent customer service skills
  • Project management experience is a plus
  • Strong attention to detail, time management and organizational skills
  • Excellent PC Skills including, but not limited to, MS Word, MS Outlook
  • Strong competency level in Excel
  • Ability to work independently within defined processes and procedures as well as in a team environment.
  • Product and/or industry knowledge is preferred (e.g. Inventory Management, Supply Chain Management, Industrial Vending)

Work Environment & Physical Demands:

  • May be required to handle hazardous materials and wear various forms of protective equipment (shoes, gloves, protective eyewear, etc.).
  • Required to properly operate and control a motor vehicle; specific vision abilities required for this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
  • Occasional evening and weekend work may be required as job duties demand and may include little to no advanced notice.
  • Sitting, standing, walking, squatting/kneeling, reaching, grasping, pushing/pulling, twisting/bending, lifting/carrying multiple times per shift, fingering, talking, hearing, and seeing.
  • May be required to lift and carry up to 50 pounds; must have the ability to handle physical inventory that requires hand dexterity.
  • May work in extreme hot or cold environments; various facilities may have dusty conditions.
