Job Summary:
The Department of Human Oncology Badger Challenge Event Manager will have primary responsibility for operational management and execution of the Badger Challenge, a walk, run bike event to raise dollars for cancer research. The successful candidate will be a dynamic, energetic, independent, organized, logistically minded and innovative individual who can engage seamlessly with cancer patients, families, volunteers, participants, sponsors, vendors and University and Department personnel in a collaborative team environment centered on growing the Badger Challenge. We are seeking an organized team player who is energetic, compassionate, and committed to our mission of raising money for cancer research.
This individual will have primary responsibility as the Event Manager of the Badger Challenge housed within the Department of Human Oncology and interfacing with members of UW Health and the Carbone Cancer Center. They will be responsible for the strategic planning, organization and execution of fundraising events coordinated by the Department. This individual will be involved in all aspects of this event, including design, execution, volunteer management and deployment, account management with vendors (development of purchase orders and invoicing), working with department and university staff for budget management. Further, they will work directly with the Developmental Specialist in all aspects of the Badger Challenge. In addition, this individual will assist other faculty in the departments annual Heads-up golf event, the departmental annual retreat and other departmental events.
Event Management Primary Responsibilities: - Oversee all details for annual 3,000-5,000 person running, walking, biking fundraiser, annual golf fundraiser, and annual internal department events. Responsibilities include managing site inspection, site set-up, rest stop and aid station coordination, securing city and municipality event permits, coordinating course mapping and marking with external race management company, managing and securing all audio/visual, shelter equipment and signage. - Manage online registration and fundraising software including building annual custom registration site and managing all participant data and overseeing all fundraising data collected through site. Interface with UW Foundation for accurate participant reporting and donation records. - Manage all apparel assets, including working with vendors on design, purchasing, managing inventory, and any related shipping needs. - Lead contact for all customer service questions and issues. Lead staff member answering participant questions from email and online contact form and manage participant complaint resolutions. - Oversee 350+ volunteers including creating and managing volunteer online registration site, securing volunteer captains, and providing all training materials for online and in-person training sessions. Develop and implement volunteer communication strategy on and email and work with Director of Marketing for social media content. - Manage event financials including annual budget forecast and tracking system, oversee bid and procurement process for all paid vendors and process and manage all invoices from bid to payment. Manage all donation checks. - Assist team with annual marketing strategy, communication and assets.
Responsibilities:
Directs daily operations of events, including monitoring the budget and/or supervising event planning staff to ensure that operations run efficiently, economically, and in line with department goals and policy.
- 50% Establishes and executes day-to-day operational functions and goals of events to align with existing strategy
- 10% Identifies, proposes, and implements new or revised unit operational policies and procedures
- 10% Monitors the budget and approves expenditures
- 10% Establishes and sustains relationships with internal and external stakeholders
- 20% Manage DHO events as requested, including Heads Up Golf outing, DHO social events and departmental research retreats

Education:
Preferred Bachelor's Degree Degree in marketing, public relations or general business preferred.
Qualifications:
Required Experience: - Proven experience (minimum 5+ years) in organizing endurance, fitness, or charity events, with a strong track record of managing logistics, timelines, and teams. - Experience planning events of 500+ participants.
Desired Attributes: - Ability to handle multiple tasks, manage complex event details, and coordinate with various stakeholders like participants, volunteers, vendors, sponsors and local municipalities. - Excellent verbal and written communication skills to liaise with partners, sponsors, and participants, as well as to promote the event across various media platforms. - Experience in managing event budgets, ensuring costs are controlled while maximizing impact and quality of the event. - Understanding of safety standards for fitness events, including crowd control, medical preparedness, emergency action plans and road safety for cyclists. - Familiarity with event management software, registration platforms, mapping platforms, volunteer platforms and social media tools to ensure smooth participant engagement and event coordination. - Experience with permitting.
