Job Description Summary |
The
Department Assistant ~ Physician Assistant is a full-time, 12 month position, that provides administrative support for the Physician Assistant Program. |
Essential Functions |
Provide administrative support to faculty, staff and students within the Physician Assistant Program including but not limited to
- Process academic forms
- Schedule program, faculty, advisory boards and committee meetings
- Arrange hospitality
- Document meeting minutes
- Serve as the main point of contact for the program
- Assist in planning and execution of special events organized by the PA program
- Assist with onboarding of new faculty and staff
- Maintain current student files and program rosters
- Utilize and/or update computer information systems used in clinical education for rotation scheduling, health clearance, site requirements, etc.
- Assist in organizing student orientation, including communicating timely information about scheduling and other important requirements, events, updates, etc.
- Assist with planning and execution of in-person intensives/call backs
- Maintain databases including but not limited to, alumni, preceptor, clinical sites, adjunct faculty and guest lecturers
- Compile and organize student admissions files
- Coordinate and schedule all student interviews for entrance into the PA program and other-related tasks
- Serve as the central point of contact for fiscal transactions and budget reporting, including maintaining and reconciling monthly reports and procurement monthly statements and preparing year-end transactions to close out fiscal year reports
- Coordinate and process financial transactions (procurement card purchases, Invoice Payment Forms, Requisitions etc.) for office/other program supplies etc. for faculty and staff
- Manage faculty travel, reconcile and prepare travel expense reports for faculty
- Process and track Human Resources paperwork (i.e. hiring and contract processing, payment administration) related to guest lecturers and adjunct faculty members as needed
- Other duties as assigned

Required Education, Experience, Technology Applications and Skills |
- Associates Degree with at least 3 years of administrative experience
- Effective communication and collaboration skills
- Ability to perform duties autonomously with minimal supervision
- Strong computer skills
- Ability to manage and prioritize multiple tasks, and successfully meet deadlines
|
Preferred Education, Experience, Technology Applications and Skills |
- Experience in higher education or an active academic setting is preferred
|
Supervisory Responsibilities |
- May oversee student workers or graduate assistants
|

- Prolonged periods of sitting, extensive computer use, and occasional lifting or moving of light objects
