Position Purpose |
As a member of the Thayer School of Engineering Research Administration team, the Pre-Award Research Administrator I is responsible for guiding Principal Investigators through the proposal submission process of sponsored research applications. Applies an understanding of the administrative requirements of sponsored funding opportunities during proposal development and detailed planning to support successful internal review of proposals and submissions. Provides guidance to external and internal collaborators, subcontractors, and others regarding proposal requirements. The Pre-Award Research Administrator I works under supervision by the Director of Research Administration. |

- Associate's degree or three years of office experience in a related field, with some autonomy.
- Proficiency with Microsoft Office suite (Word, Excel, PowerPoint), Adobe software, and Google Suite (Docs, Sheets, Drive).
- Excellent proofreading, editing and formatting document skills.
- Strong organizational skills and keen attention to detail.
- Ability to prioritize, and manage multiple tasks and projects with interruptions while adhering to deadlines.
- Must be able to work with multiple PIs under deadline pressure.
- Excellent communication and collaboration skills.
- Proven ability to maintain confidentiality and handle highly sensitive information.
- Commitment to diversity and to serving the needs of a diverse community.

Preferred Qualifications |
- Experience in an academic or research setting.
- Experience with preparation of federal grant application documents.
- Experience with uploading documents into multiple proposal portal systems such as Research.gov, Grants.gov Workspace, NIH ASSIST, etc.

Description |
Proposal Review and Submission
- Reviews required proposal documents to ensure formatting compliance with sponsor and Dartmouth guidelines, including abstracts, scientific narratives, bibliographies, biographical sketches, data management plans, and other required supporting documentation.
- Oversees routing of research proposals to the Office of Sponsored Projects for review. Forwards review comments to PIs, Academic Coordinators, Research Administration team and clearly outlines action items for each recipient.
- Manages and provides assistance in resolving issues that occur during the course of the College approval process and agency review. In conjunction with the Office of Sponsored Projects coordinates electronic proposal submissions and other electronic research related processes.

Systems/Organization
- Creates proposals in the internal proposal routing system called RAPPORT, and ensures the proposal meets sponsor requirements and Dartmouth policies while also monitoring timelines. Oversees and assists with other sponsor application systems such as Research.gov, NASA NSPIRES, Grants.gov Workspace.
- Collects and examines federal and non-federal sponsor solicitations/funding opportunity announcements to identify key proposal requirements in order to provide guidance and counsel to Principal Investigators (PIs) regarding interpretation of guidelines for potential research projects.
- Develops and maintains a system to facilitate proposal planning and submissions by providing proposal submission timelines and checklists to PIs, Academic Coordinators, and Research Administration team, taking into account internal and sponsor deadlines.
- Oversees routing of research proposals to the Office of Sponsored Projects for review and submission in line with internal deadlines.

Description |
Collaboration and Communication
- Serves as point of contact for Principal Investigators, Academic Coordinators, Research Administration team and the Office of Sponsored Projects to initiate and prepare proposal applications.
- Contributes to the overall proposal submission process through regular communication, meetings or shared documents with the individual PIs, Academic Coordinators, Research Administration team and others to ensure timely progress towards successful proposal submission. Provides clear communication and direction to collaborators (internal and external), consultants, and subcontractors to identify information and files needed for proposal applications, along with adherence to targeted deadlines.
- Updates current and pending information for Thayer School's faculty and senior/key researchers in both Dartmouth and sponsor reporting systems. Communicates current and pending information to non-Thayer senior/key personnel.
- Identifies and proposes solutions and works toward resolutions related to pre-award matters.
