Rutgers University- Newark (RU-N), an urban public research university and anchor institution located in Newark, New Jersey, a city of promise, is seeking a Senior Program Coordinator. The Graduate School-Newark provides personalized academic support for approximately 650 Rutgers students enrolled in 29 doctoral, master's, and dual degree programs in Newark. Our school ensures rigorous academic standards, fosters interdisciplinary collaboration between graduate faculty and students, and oversees broad-based, robust professional development initiatives that prepare graduate students to succeed in both academic and non-academic careers.
Reporting directly to the Dean of the Graduate School-Newark (GS-N), this position oversees day-to-day programmatic operations and administration, including developing and coordinating program activities, managing facilities, budget, staff, ensuring an inviting atmosphere for students, faculty, administrators and other Graduate School stakeholders, and ensuring seamless operations and interactions between the Graduate School and the other co-located units on the Third Floor of Dana Library. The position will be fully responsible for contracting any services needed for program execution, including serving as liaison to current contract representatives (e.g., Powner Coaching,
RPV Project Management for Grad Students,
IGSI facilitators, etc) and outreach to new contractors; researching and making recommendations for adaptations to existing or adding new programs; strategic communications (e.g., social media, web development and maintenance); and overseeing logistics associated with all programs.
This position is responsible for and not limited to the following:
- Project management and liaison for school programmatic initiatives, including the Summer Undergraduate Research Institute, the Dean's Dissertation Fellowship Program, the Graduate School-Newark Professional Development Series, the Southern Regional Education Board Fellowship Program, and the Responsible Conduct of Research initiative.
- Acts as grants administrator, identifying and disseminating funding opportunities, and liaising with Grants Office and Office for Research to ensure grants compliance and management. Assists in the preparation of unit's grant applications and awards, together with the Dean.
- Assists in the coordination of all routine and special events such as hooding ceremony, commencement, alumni events, workshops/webinars, and other special projects as needed.
- Coordinates calendaring, travel, and conference-related logistics for domestic and international sites for the Dean and School.
- Assists in monthly budget reconciliations, tuition remission / other awards, and other budget-related tasks as needed.
- Performs professional-level work that requires knowledge of program coordination and higher education administration, including the structure, organization, and function of graduate schools.
- Completes all work consistent with a broad understanding of the mission, vision, role, and goals of the Graduate School, as well as supporting the responsibilities of the Dean.

Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2024. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Qualifications
Minimum Education and Experience |
- Requires a bachelor's degree in a related field, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, organization, coordination, facilitation, bookkeeping, and/or report writing.
- Requires a minimum of 2 years related experience. Also requires good communication skills and computer literacy.
