THE POSITION

If so, apply today to join our team at the Office of State Inspector General (OSIG) providing administrative support for the Western Regional Office of the Bureau of Fraud Prevention and Prosecution.


DESCRIPTION OF WORK

As a Clerical Assistant 3, you will perform administrative support functions for the Western Regional Manager, five supervisors, and approximately 30 investigative staff.

In this role, you will compose, type, and distribute correspondence, including confidential documents, directed to government offices, the public sector, various agency clients, and memorandum to office staff under the signature of the Regional Manager. You will type and proofread confidential documents for official court filings and review prepared documents for grammar, format, and accuracy. Work includes certifying public assistance transcripts for use in court cases. In addition, this position performs data entry into multiple systems, including the Bureau of Fraud Prevention and Prosecution (BFPP) confidential case management system and OSIG Avoidance and Recovery System.

Work Schedule and Additional Information:

  • Full-time employment.
  • Work hours are 8:00 AM to 4:30 PM, Monday - Friday, with a 60-minute lunch.
  • Telework: You may have the opportunity to work from home (telework) part-time, working from home (telework) up to 12 days per month based on operational needs. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Pittsburgh.
  • Salary: In some cases, the starting salary may be non-negotiable.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • One year as a Clerical Assistant 2 (commonwealth title); or
  • One year of moderately complex clerical experience; or
  • An equivalent combination of experience and training.

Additional Requirement:

  • You must be able to perform essential job functions.

Preferred Qualifications (not required):

  • Experience analyzing electronic data and creating and/or manipulating Excel data spreadsheets.
  • Experience working with Department of Human Services databases or systems.
  • Experience in customer service.
  • Experience handling and/or maintaining confidential information.
  • Experience drafting and/or proofreading correspondence.

Legal Requirements:

  • You must pass a background investigation.
  • This position will have access to Federal Tax Information (FTI) and is subject to the provisions of IRS Publication 1075 (Pub 1075) which requires you to pass an enhanced background check prior to beginning employment. Under Pub 1075, acceptance of a conditional offer of employment will require submission to and approval of satisfactory criminal history reports, including but not limited to: a fingerprint-based federal records check; a PA State Police clearance; a check of local law enforcement agencies where you have lived, worked, and/or attended school within the last five (5) years; and a citizenship/residency verification.
  • Due to Act 29, the agency the selected candidate will be serving has limited law enforcement powers and requires all employees with access to agency systems to undergo fingerprinting and an in-depth background check to include criminal, tax, and credit history.
