About the Payroll Specialist Position:

As the Payroll Specialist, you will play a vital role in supporting the organization's commitment to their employees by overseeing and processing payroll with accuracy, timeliness, and attention to detail. This role is essential to ensuring their staff members are compensated correctly and on time, in accordance with both internal policies and external regulatory requirements. You will also have the opportunity to contribute to streamlining payroll processes and supporting financial reporting for grant compliance. This is a contract-to-hire position.

Essential Functions for the Payroll Specialist:
  • The Payroll Specialist will manage bi-weekly (or semi-monthly) payroll processing for salaried and hourly employees, ensuring accuracy and compliance with relevant federal, state, and local laws.
  • Assist with internal and external audits by providing payroll records, reports, and other relevant documentation as needed.
  • Ensure compliance with payroll-related regulations, including tax withholding, wage and hour laws, and FLSA requirements, particularly for nonprofit organizations.
  • Prepare and submit reports as needed, such as quarterly and annual payroll reports, W-2s, and other documents required for compliance and grant reporting.
  • Enter payroll data accurately into the payroll system, and regularly reconcile payroll data with accounting records to ensure financial accuracy.
  • Review and calculate monthly mileage reimbursement logs. Act as administrator to Company Mileage program. Set up new employees at hire date and enter approved mileage into Paylocity. Ensure all requests for reimbursement have appropriate approvals and include original receipts.

Preferred Requirements for the Payroll Specialist:
  • The Payroll Specialist must have experience processing payroll, 2+ years or more is preferred.
  • Strong understanding of payroll regulations and compliance.
  • Excellent attention to detail.
  • The Payroll Specialist should have flexibility and be open to changes.
  • Experience and proficiency in ADP and MS Excel.
  • Excellent communication and prioritization skills.
  • Ability to meet deadlines.
  • Detail oriented.

  • the individual's skill sets, experience and training;
  • licensure and certification requirements;
  • office location and other geographic considerations;

With that said, as required by local law, Vaco believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
