Position Description
Manages a unit within a department. Plans, organizes and develops goals and procedures for the unit. Represents the unit to administrators, outside agencies and others on relevant matters. Supervises subordinate staff.
Major/Essential Functions
- Directly supervises and trains nurses and PSS. Leads by example specifically in area of dependability to ensure limited unplanned absences and minimal weekly time off requests. Promotes punctuality and self-management by being punctual and responding to team member, Dept. Administrator, Residency Program Coordinator and faculty requests promptly.
- Works closely with Dept. Administrator with staff concerns and disciplinary. Will speak to Dept. Administrator before any disciplinary action is taken. Both must agree on disciplinary action.
- Maintains confidential files, records and financial data pertaining to assigned area of work. Maintains personnel files for clinical staff.
- Is the liaison for patient complaints, physicians', residents, staff and other healthcare providers' concerns or complaints regarding Clinic Operations, patient flow, work flow, patient care or service, etc. Unit Manager will communicate and escalate complaint to Sr. Clinical Dept. Administrator if unable to resolve.
- Assists Patient Services with patient complaints. Will research and review chart to determine whether complaint is warranted or whether information needs to be provided to Patient Services to determine next steps. Works with Dept. Administrator in completion of Patient Complaint form prior to returning to Patient Services.
- Coordinates the day-to-day Clinical Operations. Monitors and enforces clinical compliance and quality assurance policy. Ensures clinical staff are actively productive and completing work according to expectation. Ensures clinical staff promotes excellence in Customer Service.
- Manages Cash Fund Reimbursement, Petty Cash Reconciliation, Deposit Procedures, HSC Cash Controls and Daily Bank and receipt Procedures. Manages Endorsement Stamps and ensures compliance with TTUHSC Risk Controls and Cash guidelines. Prepares all departmental deposits. Ensures employees adhere to the Cash Fund Control Plan. Utilizes Centricity (IDX) Point of Service (POS) to determine Daily Collection Analysis. Monitor over the counter collections to ensure front office staff is collecting deposits, co-pay's, deductibles, and/or co-insurance at check-in.
- Submits Performance Reviews as needed to individual front office, nursing or billing team members via HSC Performance Review System to provide team members feedback and to assist in Professional and Personal Growth. Will ensure team members sign Performance Review. Conducts Annual Performance Review/Evaluation for front office and billing team according to HSC guidelines. Will ensure team members complete Self-Assessment. Works with Dept. Administrator to review prior to conducting Performance Review/Evaluation.
- Maintains standard operating procedures manual for front office, billing and nurses. Holds monthly meetings to discuss new, revised and/or changes to the standard operating procedures or to discuss Clinic Operations, work flow, etc. Will create Agenda and sign in sheet for record keeping. Will file documents in Clinic Monthly Meeting binder. Coordinates and/or maintains departmental records, files, and general office procedures in accordance with institutional policy.
- Serves on the Clinical Practice Improvement Committee with the committee Chair, Dept. Administrator and other members. Works with committee Chair and Dept. Administrator to create, implement and update Revenue Cycle Management work flows.
- Serves as a member of the Hiring Team for the Neurology Dept. Works with Dept. Administrator, Unit Manager and HR to ensure hiring guidelines are followed. Completes the pre and post Matrix then uploads to BrassRing. Saves all applicant Resumes to appropriate folder for future reference. Conducts and completes Interview Feedback and Reference Check forms.
- Analyzes reports such as TONIC Dashboard, CxOne Telephone Dashboard, Patient Satisfaction Report, NOS report, referral patterns, data regarding physician availability.
Required Qualifications
Bachelor's degree plus three years supervisory experience; OR a combination of education and/or supervisory experience to equal seven years.
