Job Summary

The Sr. Associate Director, Post-Award, is responsible for overseeing post-award services for sponsored projects, including managing the activities of the post-award team. This role ensures the effective support of the TJU community in complying with sponsor requirements regarding post-award management of sponsored programs. The Sr. Associate Director achieves this by maintaining a thorough understanding of federal, state, local, and non-profit agency grant policies, staying current on changes to these regulations, and attending ongoing training in research administration. Additionally, the Sr. Associate Director, Post-Award follows the policies and procedures established by the Office of Research Administration/Research Support Services. In this role, the Sr. Associate Director, Post-Award will work collaboratively with other teams within the Office of Research Support Services (ORSS) and external departments to facilitate seamless post-award processes. Fostering strong, collegial relationships is essential to ensuring successful collaboration across various stakeholders, including principal investigators, department administrators, and external sponsors. The incumbent is expected to build and maintain a culture of teamwork and mutual respect, promoting open communication and problem-solving to address complex challenges effectively.

This position also oversees all aspects of system implementations, training, and support within the institutionrsquo;s post-award research administration, serving as a critical bridge between technology, compliance, and research teams. This role ensures seamless integration and operation of systems, provides expert troubleshooting and fosters collaboration to drive innovation and efficiency in post-award processes.

Essential Functions

  • Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.
  • Independently approve sponsor requests and execute Professional Services Agreements.
  • Prepare and present monthly metric reports for senior management, offering insights and recommendations based on data analysis.
  • Create, maintain, and refine the ldquo;red zonerdquo; report for tracking expired grants, proactively identifying areas needing attention to ensure timely closeouts and ensuring the team works collaboratively with others for a timely close of accounts.
  • Lead post-award functions with minimal oversight, optimizing team efficiency and operations.
  • Recruit, train, and supervise the post-award team, conducting performance reviews and addressing development needs.
  • Monitor and balance the workload across post-award staff to optimize efficiency and resource allocation.
  • Serve as the primary authority for financial audits involving ORSS (e.g., Uniform Guidance, OIG, sponsor, and internal audits), managing these processes with minimal supervision.
  • Develop and implement post-award policies and procedures to improve processes.
  • Oversee the effort reporting function with full responsibility for accuracy and federal compliance, ensuring that the institution meets all regulatory requirements.
  • Oversee effort reporting and maintain the ORA manual and website.
  • Collaborate with the Associate Director, Post-Award/Training to develop/deliver ongoing professional development opportunities to maintain theexpertise of staff in research administration
  • Manage a portfolio of research accounts for assigned departments autonomously, including account setup, transaction review, and financial monitoring, providing expert guidance to stakeholders.
  • Keep ORSS leadership informed of emerging issues and provide strategic recommendations.

Education:

A minimum of a bachelorrsquo;s degree in a related field (e.g., Business Administration/Management or equivalent, preferred).

AND

Experience:

7-10 years of experience in research administration, with a strong focus on post-award management. 2-5 years of leadership or supervisory experience, overseeing post-award functions and managing teams.

Computer skills in a PC/Windows environment, including MS Word, Excel, and PowerPoint, demonstrated by application materials and previous experience.

Excellent written communication skills and attention to detail, as demonstrated by application materials.

Experience working with federal, state, and private sponsor regulations (e.g., NIH, NSF, OMB Uniform Guidance)

Demonstrated experience with financial audits, compliance, and risk management related to sponsored programs.
