Senior Program Coordinator (Study Abroad Enrollment Manager and Data Administrator) is responsible for evaluating and enhancing application and enrollment procedures, developing strategies to boost student engagement, and ensuring the efficient use of
CRM platforms, including Terra Dotta, Marketing Cloud, and Salesforce. |

Rutgers, The State University of New Jersey is seeking a Sr. Program Coordinator (Study Abroad Enrollment Manager and Data Administrator) for the Office of Global Education. Reporting to the Director of Study Abroad, this position plays a critical role in managing enrollment processes, optimizing
CRM systems, and supporting the overall success of study abroad programs. The role includes overseeing data quality, system integrations, and reporting, while managing the application process for incoming exchange students. The Senior Program Coordinator will act as a key liaison with student services to ensure a seamless experience for both domestic and international participants. This role involves collaborating with stakeholders across departments to support program growth, improve operational efficiency, and enhance the overall student experience.
Key Duties:
Enrollment Management and Application Coordination:
- Assess and reevaluate application and enrollment processes, recommending improvements and developing strategies to increase participation in study abroad programs.
- Implement campaigns to boost application completion rates, design marketing objectives, and create programs to raise awareness of RGSA opportunities in collaboration with the Communications team.
- Support the full application process, including reviewing applications, ensuring timely processing, and assisting students with course planning, visa processes, and pre-departure orientation.
CRM and Data Management:
- Ensure the optimal use of the Terra Dotta data management system and its integration with RGSA and other university systems.
- Oversee day-to-day maintenance of Terra Dotta and other Global CRM platforms (e.g., Salesforce, Marketing Cloud), troubleshooting issues and customizing configurations as needed.
- Manage data quality, integrations, security, and reporting to ensure accurate, efficient data handling and streamlined application processes that support enrollment growth.
Incoming Exchange Coordination:
- Manage the application process for incoming exchange students, responding to inquiries from students and partner institutions.
- Collaborate with the Assistant Director for Semester Programs to maintain accurate records of student nominations and balances, and coordinate with student services to ensure a smooth enrollment process.
- Liaise with academic departments to enroll exchange students in appropriate courses for their term of study at Rutgers.
Events and Collaboration:
- Participate in office events, including Study Abroad Fairs, Pre-Departure Orientations, and Exchange Student programming.
- Lead marketing efforts, such as application drives, tabling events, and open houses (both virtual and in-person), to promote study abroad programs.

Qualifications
Minimum Education and Experience |
- Bachelor's degree.
- Two (2) years of related experience.

Required Knowledge, Skills, and Abilities |
- Experience in the administration and maintenance of databases or other CRM systems.
- Ability to meet deadlines, prioritize simultaneous requests, and manage laterally/upwards.
- Ability to manage changing priorities and with multiple projects.
- Ability to work and learn independently.

Preferred Qualifications |
- Masters' Degree in Higher Education Administration, Global Affairs, Communications, Information Systems, or closely related fields.
- Strong understanding of international Higher Education related processes and systems.
- In-depth knowledge of both Terra Dotta and Salesforce products and their functionalities.
- Saleforce.com Admin certified & Certified Service Cloud Admin.
- Exceptional ability to create and maintain student information, curriculum, and/or marketing databases.
- Proficiency in onboarding users, allocating roles, and managing access in Terra Dotta and Salesforce.
- In-depth knowledge of importing data, generating reports, analyzing KPIs for various user groups.
- A background in University Enrollment Management or Admissions.

- Work is typically completed in a seated position.
- The open office environment requires the ability to concentrate while others may be talking to students.
- The ability to work on a computer screen for 6-8 hours per day is imperative.
