Job Summary:

The Business Office Manager position works closely with the Division Chief as part of a divisional leadership dyad to manage all aspects of business and operational management related to the division. This leadership position helps to ensure accurate, complete and consistent operational and business management practices. The position is responsible for financial oversight, HR management, general communication, project coordination, and divisional administrative oversight.

Responsibilities:

  1. Operates as divisional content expert. Maintains departmental policy and procedure documents. Assists with creation, preparation and updating of divisional policies and procedures, prior to final approval by the Division Chief.
  2. Functions as divisional liaison for communications between the division and Department of Pediatrics, UNC SOM, UNC Health, and beyond.
  3. Responsible for divisional financial oversight and processing in conjunction with the department finance team. This includes but is not limited to divisional funding (clinical income, contracts, trust funds, state funds, and other special allocations) review, purchasing, and budget planning. Develops and maintains systems that effectively monitor divisional income and expenditures.
  4. Develops and maintains clinical metric and financial reports, as needed, for the Division Chief.
  5. Manages divisional HR in conjunction with HCS and SOM HR teams, including recruitment, on-boarding, supervision of staff, performance management and general personnel issues.
  6. Develops short-term and long-term goals for staff and analyzes activity to ascertain the extent to which goals are being met.
  7. Maintains a qualified and knowledgeable staff. Conducts divisional orientation and ongoing education and training for existing employees.
  8. Functions as divisional program coordinator for divisions with sub-specialty fellowship programs. Works with the departmental fellowship coordinator to ensure ACGME requirements are met.
  9. Participates in development of short and long-term goals divisional goals.
  10. Manages divisional space allocation and related projects.

Education Requirements:

Bachelor's degree or equivalent experience.

Licensure/Certification Requirements: None

Professional Experience Requirements:

  • With Bachelor's degree, five (5) years of administrative experience in a healthcare setting.
  • With Associate's degree, nine (9) years of administrative experience in a healthcare setting.
  • With High School diploma, thirteen (13) years of administrative experience in a healthcare setting.

Prefer candidates familiar with Medicare, Medicaid, insurance, in a LTC setting. Knowledge of state and federal regulations with regards to nursing home billing, AR, account management, and collections is required. Supervisory experience preferred.

Knowledge, Skills, and Abilities Requirements:

It is essential the selected candidate possess: recent administrative experience (within 3 years) in a large, diverse clinical/academic setting; familiarity with clinical research; experience with office operations, computer programs (Outlook, Word, Excel, and PowerPoint), and a demonstrated ability to work independently. Outstanding communication and interpersonal skills are required for the role to function as part of a team and for ongoing customer satisfaction. The role requires an organized, detail-oriented, and flexible individual, capable of managing competing priorities and projects. Strong knowledge of clinical operations is a plus.
