Job Summary |
The Graduate Program Administrator works closely with individual program areas to insure that program operations function in compliance with the Graduate Office policies and regulations. As part of this process, the Graduate Program Administrator serves as a representative to the School of
EPPS in all matters related to graduate education in their program.
Although the nature of the Graduate Program Administrator appointments and responsibilities varies throughout program areas, they will have a primary role in supporting students and faculty in their academic programs and serve as the primary point of contact between the academic department/unit and the
UTD Community. The School of
EPPS, program faculty, graduate advisors, and students rely heavily on the professional assistance of the Graduate Program Administrator. |
Minimum Education and Experience |
Associates degree. Five years of administrative assistant or office manager experience. Two years of budgeting or accounting experience. Equivalent combination of education and experience may be considered. |

- Ability to learn PeopleSoft Financials, Time & Labor, and/or HCM modules
- Ability to learn SciQuest/Jaggaer or another eProcurement system
- Ability to quickly learn Orion and OnBase
- Intermediate proficiency in Microsoft Office Suite, including Excel, Outlook, Word, and PowerPoint, Adobe and use of electronic forms
- Knowledge of UT Dallas' or another UT System institution's administrative policies and procedures
- Customer service experience with excellent oral, written, and interpersonal communication skills and professional TEAMS demeanor
- Collegiality and ability to work well with others

Essential Duties and Responsibilities |
Essential Duties and Responsibilities
- Planning and supporting program events
- Informing and keeping the program's faculty and students up-to-date with new and current University, Graduate Office, School of EPPS, and Department policies, procedures, and requirements.
- Monitor and track student progress, matriculation and enrollment status
- Track alumni
- Playing a vital part in the day-to-day operations of the department's graduate program(s).
- Participation in graduate student qualifying exams
- Processing applications for admission and encourage students to complete their application
- Participate in meetings with the Admissions Office on admissions and recruitment issues.
- Ensure that applicants for admission receive a timely decision about their admission status following the completion of their file.
- Conduct regular follow-up with those applicants who have not accepted an offer of admission to encourage them to accept and enroll.
- Enter and track conditional exceptions to graduate program admission policies.
- Provide regular enrollment updates to the department program head
- Register students for courses when necessary
- Ensure that students who have accepted offers of admission have been advised about initial course enrollment expectations/requirements.

- Collecting information from Program Chairs for 18 characteristics reporting
- Preparing for the internal and external review of graduate programs
- Upload purchasing card reports and supporting documentation to ensure compliance with departmental budget plans and use of funds guidelines, in accordance with UT Dallas and UT Systems policies
- Assist departmental unit employees with travel planning and travel expense reimbursements and advise on relevant travel policies
- Onboard visiting scholars
- Under the direction of the SFO, prepare and submit designated budget actions, including IDT journals
- Provide direct administrative support to the program head
- Develop, foster, and maintain strong working relationships with school employees and various contacts across campus
- Actively participate as a member of the School of EPPS Administrative Business Operations Team
- Monthly account reconciliation and cost center management to ensure all transactions are correct
- Manages payment acceptance related cash handling and gift deposits
- Ensures appropriate internal controls are addressed, maintained, and strengthened to protect University resources.
- Serving as the point of contact between the academic program and the Graduate Office.
- Respond to graduate program inquiries from prospective graduate applicants.
- Providing students with a schedule of deadlines to ensure timely progress within their program and informing them of the policies and processes to follow while completing their degree.
- Adding and removing Holds on student accounts
- Attend training for professional development as allowed
- Other duties as assigned
