Summary:

A Branch Administrative Assistant works in the Eclipse Operating System to support several branch and department locations in the Capital Electric market; addressing reports daily so that accurate and timely customer and vendors invoices are processed.

Responsibilities:



  • Answer and assist with telephone calls
  • Bill direct and lot job orders
  • Bill freight on stock orders through Freight Audit Report
  • Enter customer payments
  • Input shipment correction claims
  • Issue credit to resolve accounts receivable disputes as approved by local management
  • Manage returns - customer credits, including negative purchase order returns to vendor
  • Review unapproved payables for both stock and direct order, may include lot jobs
  • Support Sales Writers and Branch Managers with Eclipse transactions
  • Work with Branch Manager to clear open cash accounts receivable
  • Attention to 25th statement and end-of-month closing
  • Enter customer invoices in third party portal



Minimum Qualifications:



  • Experience working with Accounts Payable is preferred
  • Strong knowledge of Microsoft Office software (Word & Excel)
  • Experience in Eclipse Operating System is a plus
  • Self-starter with the ability to work independently with little supervision
  • Excellent verbal and written communication skills
  • Customer service oriented
  • Strong organizational skills
  • Detailed oriented
  • Ability to multi-task
