Summary

The Research Administrator is responsible for supporting the research department by managing various operational tasks. This role oversees budget tracking, processing contracts, administering incentives, managing secondary research, and programming and deploying online surveys. The role requires a high level of organization, attention to detail, and the ability to establish procedures as needed.

This role offers a hybrid work environment, with regular remote work and occasional in-office attendance required at our Paramus, NJ location.

Primary Responsibilities



  • Budget & Contract Tracking & Monitoring: Serve as primary liaison tracking and monitoring budget for research department as well as other departments under Marketing, Communication & Research umbrella. This includes:


    • Providing regular budget reports and ensuring expenditures are aligned with approved allocations.
    • Reconciling and re-classing all P-card transactions related each month.
    • Overseeing the onboarding of vendors into our AP system. Completing forms to add all new vendors to AP system.
    • Inquiring and tracking invoices in the AP system to be sure they are being paid in a timely manner.
    • Managing the submission, tracking and monitoring of contracts, including CSAs, SOW, POs.
    • Tracking all research-related costs. Maintaining a ledger to track all invoices by research study. Regularly meeting with director on budget.


  • Research Project Incentive Management: Track, procure and distribute incentives for all Savvas identified research participants. Aggregate yearly incentive distributions by participants and by study.
  • Secondary Research Execution & Distribution: Conduct and support secondary research efforts as required by the department, including synthesizing findings from external reports, etc. to support research initiatives. Oversee the distribution of secondary research newsletters and reports. Maintain and update the distribution list, onboard new hires, and ensure timely delivery of new reports and newsletters.
  • Survey Programming & Deployment: Program surveys in Qualtrics based on Word document content. Ensure accurate translation of questions and survey logic for effective data collection. Query our research panel database and deploy emails to potential research participants.


Required Knowledge and Experience

Formal Education and/or Related Work Experience:



  • 2-5 years of experience in project coordinator, research operations or administrative support.
  • A bachelor's degree is preferred.


Skills & Competencies



  • Proficient with accounts payable tools/programs
  • Experience with survey platforms, Qualtrics preferred. Must have a comfort level in learning new software as it applies to research.
  • Highly proficient in Google Suite and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent verbal and written communications
  • High degree of tolerance for change, and proactive initiative.
  • Strong organizational and multitasking skills
  • Attention to detail is imperative to ensure accurate deliverables
  • Capable of working autonomously
