About the Center for Technology Licensing

The Center for Technology Licensing (CTL) is Cornell University's technology transfer office. We manage Cornell technologies from Cornell's Ithaca campus, Weill Cornell Medical Colleges, Cornell Tech and the New York State Agricultural Experiment Station in Geneva.CTL works with Cornell researchers to identify new technologies, protect technologies through patents, trademarks and copyrights, market and license technologies to companies and/or facilitate creation of start-up companies based on Cornell technology.

The Opportunity

The Center for Technology Licensing (CTL) is seeking a highly organized and customer-oriented Administrative Assistant to provide essential administrative support and be the first point of contact for CTL. This role requires a dedicated professional with strong organizational skills, confidentiality, and the ability to manage multiple priorities under tight deadlines.

Key Responsibilities:

  • Serve as the primary contact for CTL, welcoming visitors and managing the main phone line.
  • Distribute incoming mail, order office supplies, coordinate equipment maintenance with vendors, and assist in event logistics, such as tradeshow shipments and preparation of gift packages.
  • Manage scheduling and meeting logistics for the Executive Director, acting as a liaison for appointments with Cornell's senior administrative staff, Deans, and various campus entities, as well as external stakeholders like alumni, inventors, and faculty.
  • Arrange domestic and international travel for the Executive Director, preparing detailed travel itineraries, and handling complex expense reimbursements.
  • Provide support to all CTL directors (there are 5 of them) in creating and submitting their Concur Expense Reports.
  • Provide support for scheduling multi-party meetings on campus or with external partners, assisting Directors across the Life Sciences, Physical Sciences, IP, Finance, and Technology & Ventures Initiatives & Engagement groups.

This is a full-time (39 hours/week) endowed position that is based in Ithaca, NY. This position follows a 4:1 campus-to-home hybrid work arrangement after a period of orientation and training. The remote day will be mutually agreed upon. Typical work hours are 8am-4:30pm Monday through Friday.

What You Need

We are looking for a team member who is detail-oriented, organized, technology proficient, and successful at multi-tasking. Additionally, you will:

  • Hold an Associate's Degree and 2-4 years of experience or equivalent combination of education and experience required.
  • Be able to demonstrate professionalism, organizational skills, excellent written and oral communication skills, and the ability to thoughtfully balance conflicting priorities.
  • Have a positive service-oriented attitude and sound judgment while working with a broad and diverse range of constituents.
  • Be willing to learn new things, as well as the aptitude to adapt both quickly and easily under pressure.
  • Work well as a team-player, be detail-oriented, well organized, and flexible.
  • Be able to work in a multi-task environment and have a creative mind with an ability to make improvements and problem solve.
  • Have the ability to maintain confidentiality and handle all conversations/interactions with the utmost professionalism and a high level of customer service in addition to answering questions and directing inquiries to proper individuals in office when necessary.
  • Demonstrate the aptitude to stay calm, composed and professional, under pressure.
  • Be proficient in a variety of computer-based software programs and systems (Outlook, PowerPoint, Excel, and Word).

  • Have experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds.

  • Working knowledge of Cornell University. Knowledge of Excel, Outlook, and Concur is preferred.

  • This position is eligible for a hybrid work arrangement. Employees typically perform this role
    remotely 1 day per week and on-campus 4 days per week. The university reserves the right to modify, suspend, revoke or terminate the hybrid work arrangement at any time.

    multiple W-2 Forms depending on their work location. The New York Convenience of employer guidelines require New York State individual tax reporting and withholding for this position. Additional individual state income tax filings may also be required if working temporarily outside of New York State.
