Summary
Coordinates and schedules the District's transportation services for educational excursions, cocurricular activities, athletics, special events, and staff business use. Prepares and maintains documentation, contracts, and vehicle use data in support of Transportation Services.

Distinguishing Career Features
The Transportation Scheduler is responsible for day-to-day operations of scheduled bus service among campuses timing route plans to support students and staff ability to attend classes and meetings, dispatch of vehicles for special requests, and the continual review of best practices in service. The Transportation Scheduler requires competency in customer service, route analysis, and the logistics involved with adjusting for personnel, weather, and unanticipated trips. The Scheduler also demonstrates competency in training and reviewing the qualifications of paid-and-volunteer drivers.

Essential Duties and Responsibilities
Specific duties may vary among departments, divisions and jobs. Incumbents typically perform a substantial portion or all of the following types of duties, as assigned:
1. Schedules and coordinates transportation services for available District vehicles and independent charter services to meet continuous transportation requirements.
2. Assigns vehicles for use by authorized District staff members and students. Prepares schedules of drivers and vehicles to optimize vehicle utilization and responds to vehicle-related problems and issues such as breakdowns and schedule conflicts.
3. Provides and documents vehicle usage and safety orientations to staff and student drivers according to District risk management policies and procedures.
4. Completes required forms, documents, and reports necessary for vehicle use, insurance claims, registrations, contract services, mileage, emissions, safety, and maintenance in compliance with District and state policies, procedures, guidelines, and timelines.
5. Schedules and monitors intercampus shuttles and transportation routes. Dispatches transportation services for staff and students with disabilities and other access constraints.
6. Reviews vehicle documentation for required servicing. Performs walk-around inspections of vehicles to ensure cleanliness and safe operations.
7. Establishes and maintains accurate reporting and filing systems including the contracts for independent motor carriers. Monitors vehicle-related expenditures and allocates charges to the appropriate department or student activity.
8. Performs generalist clerical duties such as initiating purchase orders, ordering and monitoring office supply inventories, greeting visitors, and responding to inquiries about transportation services and processes for qualifying and using District vehicles.
9. Monitors pre-approved transportation budgets and notifies supervisors of expenditures and unusual trends impacting budget limitations.
10. Inputs and updates a variety of data into computer-aided data systems for further use to support decisions and reports.
11. Performs other related duties as assigned that support the objective of the position.
12. Required to abide by all District policies and procedures including Board Policy 3050 - Code of Professional Ethics.

Knowledge and Skills
1. Requires working knowledge of the practices and techniques of efficient and economical transportation scheduling, routing, and dispatching.
2. Requires in-depth knowledge of safe driving practices suitable for using District vehicles.
3. Requires knowledge of and skill at using personal computer applications such as that used for office productivity, maintaining data archives, and working with computer-aided vehicle scheduling and routing applications.
4. Requires working knowledge of the geographic and topographic characteristics of the communities served by the District.
5. Requires knowledge of the pertinent federal, state, and local laws, codes and regulations pertaining to transportation of staff and students.
6. Requires working knowledge of office procedures and routines to include filing, interoffice communications, document processing, data entry, and correspondence.
7. Requires sufficient English language and grammar to prepare routine reports and documents.
8. Requires sufficient human relations skills to facilitate orientations, resolve problems, and convey a positive image of the department to a diverse population in the community.

1. Requires the ability to perform the essential responsibilities and functions of the position.
2. Requires the ability to plan and organize transportation services (vehicles and drivers) and meet departmental work volume demands.
3. Requires the ability to carry out procedures, processes, and routines for providing cost effective and efficient student transportation services.
4. Requires the ability to document departmental activity, prepare reports, and perform numerical record keeping.
5. Requires the ability to research, analyze, and evaluate new service delivery methods, procedures and techniques.
6. Requires the ability to interpret and apply federal, state and local policies, procedures, laws and regulations governing public transportation.
7. Requires the ability to communicate clearly and concisely, both orally and in writing, coordinate schedules and assignments, and evaluate the routing and scheduling of buses.
8. Requires the ability to establish and maintain collaborative working relationships with those contacted in the course of work.

Physical Abilities
1. The general physical demands, working conditions, and essential job functions associated with this classification will be kept on file with the Office of Human Resources.

Education and Experience
The position typically requires a High School diploma and three years of progressive experience in school or public transportation/transit, one of which should be in a
scheduling/dispatching capacity. Additional post-secondary education or military training in logistics may substitute for some experience. Or, any combination of education and experience which would meet the required equivalent qualifications for the position.
An Associate's degree in accounting business administration is preferred.

Licenses and Certificates
May require a valid driver license.

Working Conditions
Work is performed indoors and outdoors where minimal safety considerations exist.

Conditions of Employment

This is a permanent, general funded, full-time, 12-months per year classified position. The normal hours of work will be Monday through Friday 8:00 am to 5:00 pm, with the flexibility to occasionally work extended hours and/or weekends, if necessary, to meet the department's needs. The effective date of employment will be arranged with the supervisor. The District provides medical, dental, and vision insurance for the employee and eligible dependents and life insurance for the employee. (Salary Schedule: EE-114)

Pay Philosophy:
