Job Description Summary |
The
Enrollment Operations Specialist is responsible for all application processes, third-party relationships with external application service providers (such as Common App) for undergraduate, transfer and graduate admissions, as well as the management of a paperless application process using OnBase and Slate.
This role requires an individual that is technical and process-focused, seeks new implementation opportunities to increase efficiency and communications to the market, and is an expert on current and future systems. In addition, this individual is responsible for the monitoring of application statuses, communication with enrollment leadership, and graduate program directors to ensure that the university achieves its new transfer and graduate student enrollment goals.
This position serves as a liaison to other offices on campus regarding enrollment applications, maintaining constant communication and coordinating information flow with campus partners such as Athletics, the Registrar, Financial Aid, Advisement, academic departments, and others. |
Essential Functions |
- Manage all of the processes and procedures as they relate to the intake of applications. This includes downloading application data from third party tools such as Common App, and WebAdmit [PTCAS, CSDCAS, TransferCAS and NursingCAS]. Also, ensuring the data and forms get through the appropriate review processes. Manage all annual updates and change processes for current technology suite. This includes managing and updating enrollment reports and applications. Maintain ongoing communication with partner offices on campus such as Athletics, the Registrar and Financial Aid regarding applications.
- Using currently implemented technologies, and future technologies, supports and trains faculty and other reviewers on steps and procedures for reviewing transfer and graduate applications via OnBase and Slate. This includes creating training materials, providing support, and responding to data/reporting requests. This translates to being an expert on technologies such as Slate and the movement of information from Slate into Colleague for reporting and analysis. This also includes resolving errors in data transfer, identifying and merging duplicate records, reconciling deposit statuses, etc.
- Manages in-bound phone calls, emails, and text messages from admissions inquiries seeking first-level information on programs and application information. When needed, coordinates with other departments and faculty to answer additional student questions.
Manages questions related to transfer application processes and materials including correspondence with inquiries, verifying credit totals, receiving and processing transcripts, etc. - Coordinate with functional lead analyst and Director of Enrollment Operations on new data fields for reporting and decision making, the implementation of new projects, and other technical projects. This includes testing new features for the student dashboard, making updates to the application, managing file uploads from 3rd parties, and direct oversight of partnerships with vendors.
- Partners with Enrollment leadership on new project initiatives as they relate to improving communications and efficiencies with applicants and enrolled students. This includes analysis of current marketing activities, improving accepted student yield, partnering with other campus departments/divisions in their communication efforts, etc.
- Support enrollment events and programs for students, sending program communication to students, managing event registration, communicating post-session, and answering any student questions.
- Implement, manage, and improve communications with prospective and admitted students. This includes hard-copy communications, emails, text messaging tools, and self-service tools such as NazNet, and duplication record cleanup. Coordinate with faculty of graduate programs for program-specific communications and required forms/documents as needed (such as verifying certifications).
- Cross-train and act as backup for other members of the Enrollment Operations team as needed. Assist with Admissions events such as NazBound, Open Houses, etc. as needed.

Required Education, Experience, Technology Applications and Skills |
- Bachelor's Degree
- 1-2 years work experience in Higher Education
- Exceptional inter-personal and sales skills that include an understanding of the admissions funnel and the unique needs of the adult learner
- Technical aptitude and the ability to successfully integrate technology and processes into undergraduate admissions work
- Excellent attention to detail and ability to manage the responsibilities of a professional position and proactively perform essential tasks and activities
- Expertise on the various file structures that exist in our management systems and the ability to use that information for different projects and initiatives
- Integrity, trust, attention to detail, functional skills and knowledge, strong interpersonal skills and the ability to follow through on projects and assignments
- An ability to work independently and manage individual responsibilities is necessary
- Technical proficiency in standard business applications (MS Office Suite, GoogleDocs, etc.) is a requirement
- Comfort and aptitude in managing, manipulating and analyzing data files such as Excel
- A commitment to quality teamwork
